Responsibilities

• Manage end-to-end export operations for frozen food products from order to delivery.
• Prepare, review and verify export documents (invoice, packing list, B/L/airway bill, COO, health certificates).
• Coordinate with freight forwarders, shipping lines and agents for smooth shipments.
• Arrange and follow up on food safety certifications and destination country requirements.
• Ensure compliance with UAE export regulations and international food export rules.
• Coordinate temperature-controlled logistics and maintain cold chain for frozen products.
• Monitor shipment schedules and provide status updates to management and customers.
• Maintain export records and documentation; resolve delays and discrepancies.
• Liaise with sales, warehouse, production and logistics teams for export execution.
• Communicate shipment updates and documentation needs to international customers.

We are seeking a highly organized and detail-oriented Export Coordinator to manage and oversee all export operations for our frozen food business in the UAE. The ideal candidate will have strong experience in international exports, shipping documentation, customs procedures, and compliance requirements within the frozen food or food trading industry.

Key Responsibilities

• Manage end-to-end export operations for frozen food products from order confirmation to final delivery
• Prepare, review, and verify all export documentation including Commercial Invoice, Packing List, Bill of Lading/Air Waybill, Certificate of Origin (COO), Health Certificates, and other required documents
• Coordinate with freight forwarders, shipping lines, clearing agents, and transport companies to ensure smooth export shipments
• Arrange and follow up on food safety certificates, veterinary certificates, health approvals, and destination country requirements
• Ensure compliance with UAE export regulations and international food export requirements
• Coordinate temperature-controlled logistics and maintain proper cold chain management for frozen products
• Monitor shipment schedules, vessel/flight details, and ensure timely dispatch of goods
• Track export shipments and provide regular status updates to management and customers
• Maintain accurate export records, shipment files, and compliance documentation
• Handle export-related issues including delays, documentation discrepancies, and customer requirements
• Coordinate with sales, warehouse, production, and logistics teams to ensure smooth export execution
• Communicate with international customers and partners regarding shipment updates and documentation requirements

Requirements

• Proven experience as an Export Coordinator or similar role in the frozen food, food trading, or FMCG industry
• Strong knowledge of export procedures, international shipping documentation, and UAE export regulations
• Experience handling food export certificates, health certificates, and regulatory approvals
• Good understanding of cold chain logistics and frozen cargo handling
• Experience coordinating with freight forwarders, shipping lines, and international customers
• Strong organizational skills with excellent attention to detail
• Ability to manage multiple export shipments and meet deadlines under pressure
• Excellent communication, coordination, and follow-up skills
• Proficiency in MS Office and export/logistics documentation systems

Preferred Qualifications

• Bachelor’s degree in Supply Chain, Logistics, Business Administration, or related field preferred
