Job summary

LEAMS Education in Dubai seeks an experienced Executive Secretary to support senior leaders within a dynamic education group. You will manage calendars, prepare briefs and presentations, and maintain confidential records for the Board of Directors and Group School Principals.

The role requires initiative, discretion, and strong English communication. You will coordinate meetings, draft correspondence, and ensure compliance with KHDA regulations across multiple schools.

Qualifications

  • Bachelor’s or Master’s degree from an accredited university.
  • Minimum 5 years of hands-on secretarial, executive support, or senior administrative experience.
  • Experience in the education sector is preferred.
  • Good understanding of KHDA regulations and Dubai school requirements.
  • Excellent professional communication in English, both written and spoken.

Overview

Senior administrative opportunity within the Primary-Secondary Education sector for an organized and people‑focused professional. The role supports the Board of Directors and Group School Principals through calendar management, confidential communication, meeting coordination, document preparation, research, stakeholder engagement, and compliance‑related administration.

Role Context

The Executive Secretary will provide high‑level administrative and coordination support to senior education leaders. The position requires excellent judgment, discretion, communication, and attention to detail while managing competing priorities in a fast‑paced school group environment. The successful candidate will act as an important link between the Board of Directors, Group School Principals, employees, parents, visitors, regulators, and external stakeholders. Strong awareness of KHDA regulations, school inspection frameworks, curriculum requirements, standard operating procedures, resource management, and institutional compliance will support effective performance in this role.

Core Responsibilities
  • Coordinate leadership meetings, strategic activities, school events, and executive appointments.
  • Manage calendars, schedules, deadlines, reminders, and professional commitments for senior leaders.
  • Organize meetings with Group School Principals, directors, internal teams, and external stakeholders.
  • Prepare agendas, supporting documents, briefing materials, presentations, and follow‑up records.
  • Take accurate minutes during meetings, hearings, and formal discussions.
  • Produce final meeting records and circulate approved documents to relevant stakeholders.
  • Draft professional letters, reports, proposals, memoranda, emails, and official correspondence.
  • Coordinate written and verbal communication with employees, parents, regulators, partners, and prospective stakeholders.
  • Act as the first point of contact between the Board of Directors and internal or external parties.
  • Handle incoming calls, emails, correspondence, and visitor enquiries professionally.
  • Respond on behalf of senior leaders when authorized.
  • Maintain strict confidentiality when handling sensitive school, employee, student, and leadership information.
  • Prioritize multiple assignments while maintaining accuracy and timely completion.
  • Prepare and distribute notices, circulars, memos, policies, and administrative documents.
  • Support colleagues with planning, documentation, communication, and information distribution.
  • Improve office systems, filing structures, document tracking, and administrative workflows.
  • Maintain organized physical and digital records for efficient retrieval.
  • Conduct background research and present concise findings to senior management.
  • Prepare briefing papers, analytical summaries, reports, and executive presentations.
  • Coordinate public relations and professional communication requirements for directors.
  • Welcome visitors and manage meetings involving stakeholders at different levels of seniority.
  • Track action items, decisions, approvals, and deadlines arising from leadership meetings.
  • Assist with KHDA documentation, school inspections, compliance records, and operational procedures.
  • Support resource planning and administrative coordination across group schools.
  • Ensure assignments are completed accurately and within agreed timelines.
Ideal Profile
  • Bachelor’s or Master’s degree from an accredited university.
