Job summary

Caliberly in the United Arab Emirates is seeking an experienced Event Specialist to oversee end-to-end events from concept through execution and post-event evaluation. You will collaborate with internal teams and external partners to deliver live, virtual or hybrid experiences that align with brand and strategic objectives.

The role requires 2–5 years of UAE/GCC experience, strong project management, negotiation, and budget skills, plus fluency in English.

Qualifications

  • Bachelor’s degree in Event Management or related discipline.
  • 2–5 years of UAE or GCC event planning experience.
  • Proven track record of end-to-end live, virtual or hybrid events.

Responsibilities

  • Develop event concepts and detailed project plans aligning with objectives and budgets.
  • Source venues, negotiate contracts with vendors, and manage logistics.
  • Coordinate with internal and external stakeholders to ensure seamless execution.
  • Manage budgets, track expenditures, and reconcile post-event finances.
  • Oversee on-site operations including setup, guest management and teardown.
  • Monitor performance, collect feedback, and prepare post-event reports.
  • Stay updated on industry trends and propose innovations to elevate experiences.
  • Maintain vendor relationships and monitor performance.
  • Ensure compliance with health & safety regulations and internal policies.

Job Title: Event Specialist

About the Role

We are seeking an experienced and creative Event Specialist to join our team. The successful candidate will be responsible for the full lifecycle of event planning and executionfrom concept development through to delivery and postevent evaluation. You will collaborate with internal teams (marketing operations client service) and external partners (vendors venues agencies) to deliver outstanding live virtual or hybrid events that align with our brand and strategic objectives.

Key Responsibilities
  • Develop event concepts and detailed project plans aligning with business objectives target audiences and budgets.
  • Source and secure venues negotiate contracts with vendors (catering AV décor entertainment staffing) and manage all logistics for each event.
  • Coordinate with internal stakeholders (marketing communications sales operations) and external partners to ensure seamless execution (invitations registration signage set-up tear-down).
  • Manage event budgets: prepare cost estimates track expenditures process invoices and reconcile budgets post-event.
  • Oversee event day on-site operations including venue set-up vendor coordination guest management contingency planning and breakdown.
  • Ensure high quality attendee experience: manage registration/check-in guest lists speakers/presenters programme flow and on-site team.
  • Monitor event performance: collect feedback analyse metrics (attendance engagement ROI) prepare post-event reports and recommendations for improvement.
  • Stay current on industry trends emerging formats (hybrid/virtual) technologies and best practices; propose innovations to elevate event experiences.
  • Maintain strong vendor and supplier relationships; develop preferred vendor lists negotiate favourable terms and monitor vendor performance.
  • Ensure compliance with relevant local regulations health & safety protocols and internal policies for event operations.
Qualifications & Experience
  • Bachelors degree in Event Management Hospitality Marketing Business Administration or related discipline.
  • Minimum of 2-5 years of experience in event planning and execution (live virtual or hybrid) in the UAE or GCC region. (adjust as desired)
  • Proven track record managing end-to-end events: concept through to delivery and evaluation.
  • Strong project management skills: ability to manage multiple events concurrently meet deadlines under pressure and adapt to changing requirements.
  • Excellent negotiation vendor-management and budget-management capabilities.
  • Exceptional communication skills (verbal and written); ability to engage with internal stakeholders and external partners including senior executives and clients.
  • Proficiency in MS Office (Excel PowerPoint) and familiarity with event-management tools/CRM/platforms.
  • High attention to detail and strong organisational skills.
  • Flexibility to work outside standard hours as required by event schedules (evenings weekends).
  • Fluency in English; Arabic language skills would be an advantage.
