Job summary

Al-Futtaim is hiring a Technical Coordinator to manage daily movement and repair of rental fleet in Abu Dhabi. You will coordinate with workshops, drivers, insurers, and vendors to maximise fleet availability and minimise downtime.

Key responsibilities include coordinating vehicle transfers, updating CarPro, open/close work orders, and preparing repair estimates with photos while ensuring timely reporting and data accuracy across the operation.

Qualifications

• 3-5 years experience in fleet operations or workshop coordination.
• Experience with CarPro or similar fleet systems.
• Strong communication and reporting skills.

Responsibilities

• Fleet & Vehicle Coordination: Manage daily maintenance and accident repair vehicles; coordinate transfers; assign to workshops; update CarPro; follow up on pending repairs.
• Workshop Coordination: Open/close work orders; coordinate delivery/collection with drivers; conduct inspections and prepare estimates with photos; track repair progress.
• Insurance & Accident Repairs: Coordinate repair cases end-to-end; liaise with insurers and surveyors; ensure documents are submitted on time; monitor delays.
• Vendor & Supplier Management: Coordinate with workshops, suppliers, and vendors; monitor spare parts availability; escalate delays affecting fleet availability.
• Reporting & Control: Prepare daily status reports; monitor aging and downtime; audit parking yard inventory; ensure records and system updates; escalate issues.

Overview Of The Role:

• The Technical Coordinator is responsible for managing the daily movement and repair of rental vehicles to ensure maximum fleet availability by minimizing vehicle downtime and repair turnaround times. The role involves coordinating with various stakeholders, including workshops, drivers, insurance companies, and vendors, to streamline operations and improve efficiency. Key success factors include maintaining high fleet availability, reducing vehicle downtime, and ensuring timely and accurate reporting.

What You Will Do:

Fleet & Vehicle Coordination

• Manage daily maintenance and accident repair vehicles.
• Coordinate vehicle transfers between branches and workshops.
• Assign vehicles to the appropriate workshop.
• Update and track all vehicles in CarPro.
• Follow up on pending vehicles and repairs.

Workshop Coordination

• Open and close work orders.
• Coordinate vehicle delivery and collection with drivers.
• Conduct vehicle inspections and prepare estimates with photos.
• Follow up on repair progress and completion dates.
• Perform joint inspections and test drives before vehicle release.

Insurance & Accident Repairs

• Coordinate accident repair cases from start to finish.
• Follow up with insurance companies and surveyors for approvals.
• Ensure all required documents are submitted on time.
• Track pending approvals and elevate delays.
• Monitor major accident repair cases.

Vendor & Supplier Management

• Coordinate with workshops, suppliers, and vendors.
• Follow up on spare parts availability.
• Coordinate tire replacements and repair requirements.
• Escalate repair delays affecting fleet availability.

Reporting & Control

• Prepare daily workshop and repair status reports.
• Monitor vehicle aging and downtime.
• Audit parking yard inventory and vehicle locations.
• Ensure accurate records and system updates.
• Escalate overdue repairs and operational issues.

Required Skills To Be Successful:

• Proven experience in fleet operations or workshop coordination.
• Good knowledge of fleet management systems like CarPro.
• Excellent communication and interpersonal skills.
• Strong organizational and reporting abilities.

What Qualifies You For The Role:

• 3-5 years' experience in Fleet Operations, Rent-A-Car Maintenance, or Workshop Coordination.
• Experience in accident repair and insurance follow-up.
• Familiarity with CarPro or similar fleet management systems.
