Role Context
The Design Coordinator ensures that design information is converted into accurate and practical construction and manufacturing documentation. The role reviews drawings, materials, samples, technical submissions, and site conditions to identify clashes, missing information, and constructability issues before they affect production or installation. Within a factory-led fit-out environment, timely coordination is critical. Accurate shop drawings, updated design registers, approved materials, and prompt resolution of RFIs help reduce rework, protect production schedules, and keep site execution aligned with approved design intent.
Key Responsibilities
- Review architectural, interior fit-out, MEP, structural, and custom joinery drawings before release to factory production or site teams.
- Coordinate multidisciplinary design information to ensure drawings are consistent and technically compatible.
- Identify spatial clashes, dimensional conflicts, design gaps, and constructability concerns.
- Prepare practical recommendations and present proposed technical solutions to the Technical Manager.
- Translate consultant and client design intent into detailed and buildable shop drawings.
- Develop or coordinate manufacturing details for fit-out and joinery components.
- Review CAD and BIM information for accuracy, coordination, and production suitability.
- Ensure drawings reflect approved dimensions, materials, finishes, interfaces, and technical requirements.
- Maintain current Design Registers for drawings, submittals, material samples, mockups, and approvals.
- Track shop drawing revisions and ensure obsolete information is removed from active circulation.
- Monitor material submittals and samples through the review and approval process.
- Ensure approved Issued for Construction drawings reach site and factory teams promptly.
- Distribute approved revisions and maintain proper document control.
- Draft technical queries where design information is unclear, incomplete, or conflicting.
- Prepare and manage Requests for Information to obtain formal design clarification.
- Track outstanding RFIs and follow up with consultants and project stakeholders.
- Review material data sheets for compliance with project specifications.
- Assess finish samples and technical submittals against approved design requirements.
- Coordinate with Procurement on technical evaluations of proposed materials.
- Support material equivalency reviews when substitutions are proposed.
- Verify that replacement materials maintain required technical and aesthetic standards.
- Prepare technical submission packages for local authority approvals under the guidance of the Technical Manager.
- Support submissions to Civil Defense, Municipalities, and other relevant authorities where required.
- Attend design workshops and multidisciplinary coordination meetings.
- Participate in technical review meetings with consultants, subcontractors, project teams, and factory personnel.
- Record meeting actions and monitor outstanding responsibilities through closure.
- Conduct site visits to verify actual dimensions before finalizing critical design information.
- Compare installed works against approved drawings and shop drawings.
- Identify discrepancies between site conditions and design documentation.
- Coordinate practical solutions when field conditions prevent installation as originally detailed.
- Liaise with design consultants to resolve architectural and technical issues.
- Work closely with subcontractors on shop drawings, fabrication details, and installation requirements.
- Coordinate with site engineers to ensure design information supports planned construction activities.
- Maintain communication with project management on design risks that could affect schedule or cost.
- Support factory teams when production queries arise from drawings or manufacturing details.
- Coordinate design changes so they are reflected consistently across drawings, schedules, materials, and production information.
- Assist with mockup reviews and ensure approved comments are incorporated into final details.
- Support technical closeout by maintaining organized records of approved designs and revisions.
- Promote coordinated design practices that reduce rework, delays, material waste, and site conflicts.
Ideal Profile
- Bachelor 's Degree or Diploma in Architecture, Interior Design, Civil Engineering, or a related discipline.
- Minimum 3 years of design coordination experience.
- Previous experience in commercial or residential interior fit-out is required.
- Experience in joinery manufacturing or factory-based fit-out production is highly advantageous.
- Strong understanding of architectural and interior construction detailing.
- Able to review and coordinate architectural, structural, MEP, and interior fit-out drawings.
- Familiar with CAD and BIM-based design workflows.
- Practical experience with shop drawings and manufacturing documentation.
- Strong understanding of design registers, drawing revisions, RFIs, technical submittals, samples, and mockups.
- Able to interpret Issued for Construction drawings and consultant design packages.
- Good knowledge of interior materials, finishes, joinery details, and construction methods.
