Job summary

Qualifications

• Proven experience in customer service, supply chain, logistics coordination, or a similar role.
• Fluency in Mandarin (Chinese) and English is mandatory (both written and spoken). Arabic language skills are an advantage but not mandatory.
• Experience working with Chinese suppliers, manufacturers, or customers is highly preferred.

Responsibilities

• Quotation Management: Prepare and submit accurate quotations to customers and distributors in a timely manner.

Job description

The Customer Service Executive Mandarin Speaking reporting to the Supply Chain Manager will be responsible for managing customer quotations coordinating with Chinese-speaking suppliers and customers following up on orders and overseeing logistics to ensure timely and accurate order fulfilment This role requires excellent communication skills in both Mandarin and English along with strong customer service and coordination capabilities.

Key Responsibilities

Quotation Management

• Prepare and submit accurate quotations to customers and distributors in a timely manner.
• Liaise with the Sales team to understand customer requirements and ensure quotations reflect the correct products, pricing, and commercial terms.
• Follow up on quotations to convert them into confirmed customer orders.
• Maintain accurate quotation records and documentation.

Customer & Supplier Communication

• Act as the primary point of contact for Mandarin-speaking customers and suppliers.
• Communicate effectively in Mandarin and English to ensure smooth coordination across all stakeholders.
• Respond promptly to customer inquiries and provide updates on quotations, orders, product availability, and delivery schedules.
• Build and maintain strong relationships with customers, distributors, and suppliers.

Logistics Coordination

• Coordinate logistics activities to ensure timely delivery of customer orders in the correct quantities.
• Work closely with suppliers, freight forwarders, warehouses, and internal departments to manage shipments.
• Resolve shipping and delivery issues proactively.
• Ensure all shipping documentation, invoices, packing lists, and delivery documents are processed accurately.

Order Processing & Documentation

• Process customer orders accurately in the ERP system.
• Maintain complete records of quotations, orders, correspondence, and shipping documents.
• Prepare reports on quotation status, order progress, and logistics performance.
• Ensure timely invoicing of all outgoing goods.
• Ensure customers receive invoices immediately upon dispatch.
• Support the Finance team during account reconciliation by providing required documentation.
• Visit key customers at least once annually to strengthen business relationships where applicable.

Cross-functional Collaboration

• Work closely with Sales, Procurement, Warehouse, Logistics, and Finance teams to ensure efficient orderprocessing and customer satisfaction.
• Coordinate internally to resolve issues related to pricing, inventory, orders, and deliveries.

Customer Service

• Deliver exceptional customer service by resolving inquiries and complaints professionally.
• Support customers with product information, order tracking, after-sales service, and issue resolution.
• Ensure a positive customer experience throughout the order lifecycle.

Candidate Profile

• Proven experience in customer service, supply chain, logistics coordination, or a similar role.
• Fluency in Mandarin (Chinese) and English is mandatory (both written and spoken). Arabic language skills are an advantage but not mandatory.
• Experience working with Chinese suppliers, manufacturers, or customers is highly preferred.
• Strong understanding of logistics, supply chain, import/export, and distribution processes.
• Proficient in Microsoft Office (Excel, Word, PowerPoint) and ERP/CRM systems such as SAP or Salesforce.
• Excellent communication, negotiation, and interpersonal skills.
• Strong organizational skills with high attention to detail.
• Ability to manage multiple priorities in a fast-paced environment.
