Job summary

Certified Collectibles Group in Dubai is hiring a Customer Service & Operations Specialist to support our DIFC office. On-site, full-time, Monday–Friday, 9:00–18:00, you will help manage submissions, communicate with customers and dealers, and coordinate logistics for grading and shipments.

The ideal candidate will be organized, proactive, and able to handle multiple tasks while maintaining records and supporting senior staff.

Qualifications

  • Education requirements as stated: high school diploma or equivalent; associate’s or bachelor’s in business administration preferred.

Responsibilities

  • Receive customer submissions and act as the main point of contact with customers and dealers across all CCG verticals.
  • Data entry of customer and submission information into ERP.
  • Prepare packages for shipping and coordinate with shipping partners.
  • Greet customers, schedule appointments, and provide basic hospitality at the office.
  • Oversee daily office operations and manage supplies and facilities.
  • Provide administrative support to senior management and staff.
  • Maintain accurate records, including invoices and business documents.
  • Handle internal and external communications via phone, email, and visitors.
  • Assist with event planning and coordination for meetings and conferences.
  • Ensure procedures comply with company policies and regulations.

Job Summary:

We are seeking a highly organized and proactive Operations Specialist to join our team. The ideal candidate will have excellent communication skills, a knack for problem-solving, and the ability to manage multiple tasks efficiently. As a Customer Service & Operations Specialist, you will be responsible for ensuring the smooth operation of our office environment, supporting staff and management, and handling various administrative duties.

Key Responsibilities:
  • Receiving Customer Submissions: Be the point of contact with customers and dealers to receive and organize receipt of their grading submissions across all CCG verticals.
  • Data Entry: Enter customer and submission information into our Enterprise Resource Programme (ERP).
  • Logistics: Prepare packages for shipping, create and organise required import/export paperwork, proforma invoices, and coordinate with shipping partners to send and receive customer submissions.
  • Greeting & Scheduling Customers: Schedule appointments with customers and greet customers arriving at the office, directing them to the appropriate meeting location and providing them with basic hospitality.
  • Office Management: Oversee daily office operations, including managing office supplies, equipment, and facilities.
  • Administrative Support: Provide administrative support to senior management and staff, including scheduling meetings, handling correspondence, and preparing documents.
  • Record Keeping: Maintain accurate records and files, including business records, invoices, and other important documentation.
  • Communication: Act as the point of contact for internal and external communications, including phone calls, emails, and visitors.
  • Event Coordination and participation: Assist with the planning and coordination of events, meetings, and conferences, and support team during the events.
  • Compliance: Ensure office procedures and operations comply with company policies and relevant regulations.
What will help you succeed:
  • Education: High school diploma or equivalent; associate’s or bachelor’s degree in business administration or a related field is preferred.
  • Experience: Minimum of 1 year working in an office environment in an administrative, customer service, and/or logistics role.
  • Skills:
    • Excellent verbal and written communication skills in English AND Arabic
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
    • Strong organizational and multitasking skills
    • Ability to handle sensitive and confidential information
    • Familiarity with office management procedures
    • Personal Attributes: Reliable, detail-oriented, proactive, honest and able to work independently as well as part of a team.
    • Being a collector is not a requirement – we will teach you everything you need to know – but having an interest in collectibles is always a plus!
