Role Context

The Crew Scheduling Administrator provides day-to-day administrative support for offshore crewing activities and personnel logistics. The role manages documentation, training records, movement schedules, agency coordination, medical status updates, and changes caused by flights, weather, or other operational factors. Accurate crew scheduling is essential to maintaining offshore manpower coverage and avoiding unnecessary disruption to project operations. By keeping personnel records current and communicating changes quickly, the administrator supports safe mobilization, regulatory compliance, workforce continuity, and dependable offshore execution.

Key Responsibilities
  • Review offshore crew documents and confirm that required certifications, identification records, and supporting documentation remain valid.
  • Maintain personnel files and training documentation so employee records are complete, current, and available when required.
  • Coordinate with local agencies regarding visas, registrations, Federal Police requirements, Sispat documentation, and other crew mobilization formalities.
  • Liaise with the medical department when employees scheduled to embark receive medical leave or are unable to mobilize for health-related reasons.
  • Inform HR and Operations promptly when personnel cannot embark or when crew changes are affected by medical conditions, flight disruptions, weather, or operational changes.
  • Coordinate personnel movements to and from offshore facilities according to approved crew schedules.
  • Confirm official vacation commencement dates with offshore personnel and maintain accurate scheduling records.
  • Prepare and complete employee timesheet forms in accordance with established procedures.
  • Support the processing and administration of supplier nota-fiscal documentation where applicable.
  • Produce crewing and personnel movement reports for submission to the Crewing Logistics Coordinator.
  • Monitor upcoming crew rotations and identify missing documents, expired records, or other issues that could prevent embarkation.
  • Maintain clear communication with employees, operations teams, HR, medical personnel, logistics contacts, and external agencies.
  • Follow established crew scheduling processes while resolving routine administrative issues from available approved options.
  • Attend training sessions assigned by the supervisor and apply updated procedures in daily work.
  • Maintain compliance with company safety, ethics, HSE, and Quality expectations throughout all crewing activities.
Ideal Profile

Candidates should hold a high school qualification and have at least 2 years of experience handling administrative routines, preferably in an environment involving workforce coordination, logistics, offshore operations, travel administration, or personnel scheduling. Basic to intermediate English language ability is required, together with effective written, verbal, and interpersonal communication skills.
