Key Responsibilities
- Support the Senior Quality Operations Specialist in preparing, maintaining, and updating schedules for offshore assigned quality personnel.
- Track safety training status, travel document readiness, offshore mobilization requirements, and related personnel arrangements.
- Maintain subcontractor inspection personnel records, including approvals, mobilization plans, training status, travel tickets, timesheets, CV updates, vacation schedules, and offshore assignment history.
- Assist with weld consumable requisitions in coordination with welding engineering team and maintain records of materials sent offshore.
- Arrange dispatch of welding consumables with required documentation to offshore locations and barges as per project needs.
- Follow up on QA-QC documents, inspection equipment movement, and handover requirements for offshore project teams.
- Prepare support documents, offshore activity schedules, and coordination reports under the guidance of senior quality operations staff.
- Verify personnel data and visa request forms before submission for further processing.
- Assist in arranging air tickets, visa documentation, and offshore travel requirements for assigned QC department personnel.
- Maintain records of security gate passes for subcontractor personnel, visitors, safety induction, and orientation training.
- Support vendor invoice verification by attaching service work orders and coordinating approval before submission to Accounts Payable.
Ideal Profile
- High school diploma or equivalent qualification.
- Minimum 2 years of experience in personnel administration, quality coordination, project support, offshore operations support, or a related administrative role.
- Good typing skills with practical working knowledge of Microsoft Office applications.
- Ability to maintain accurate records, follow standard operating procedures, and work with close supervision.
- Strong attention to detail when handling personnel schedules, vendor inspection records, visa requests, training status, and offshore project documents.
- Clear verbal and written communication skills for coordination with internal teams, subcontractors, offshore personnel, and accounts support teams.
- Comfortable working in a structured project environment with defined quality guidelines and documentation requirements.
