- Develop and maintain cost benchmarks based on previous projects, supplier rates and market pricing.
Cost Control & Margin Management
- Prepare client‑facing budgets, ensuring agency fees, mark‑ups and margins are accurately reflected.
- Monitor approved client budgets, actual supplier costs and client invoicing throughout the project lifecycle.
- Track scope changes, additional requirements and cost variations, maintaining clear budget versions and change records.
- Identify budget variances and potential margin erosion early, preparing revised budgets and change requests where required.
- Support financial forecasting and ensure projects remain commercially viable.
Project Delivery & Financial Reconciliation
- Maintain live cost trackers throughout event build, show days and de‑rig, capturing additional costs, overtime and on‑site changes.
- Track purchase orders and approval processes in coordination with the Head of Experiential and Finance team.
- Review and reconcile supplier invoices against approved quotations and purchase orders.
- Prepare final project reconciliations, comparing initial budgets against actual costs and reporting on final margins and variances.
Collaboration
- Work closely with the Head of Experiential, project managers, creative, technical and finance teams.
- Participate in internal and client meetings where required to support budget planning, cost reviews and financial reporting.
