Job summary

Ali & Sons invites applications for a Service Assistant to support the Service Department with daily operations, customer interactions, and admin tasks in a fast-paced automotive setting.

The role focuses on welcoming customers, coordinating vehicle movements, maintaining records, and assisting with service bookings and invoicing. English fluency is essential, Arabic is an advantage, and basic MS Office skills are required.

Qualifications

• Minimum 1–2 years in customer service, administration, or automotive service support.
• High School Certificate or Diploma; higher qualifications are an advantage.
• Fluency in English is essential; Arabic is an advantage.
• Basic computer literacy with Microsoft Office; experience with automotive systems or SAP is a plus.
• Strong communication, organizational, time management and customer service skills with attention to detail.
• Positive attitude, professionalism, teamwork, adaptability and willingness to learn.

Responsibilities

• Assist Service Advisors and Service Manager with daily operational and administrative activities.
• Welcome customers professionally and direct them to the appropriate service personnel.
• Coordinate vehicle movement within the workshop and designated parking areas when required.
• Prepare and maintain service-related documentation, records, and reports.
• Open, update, and close service job cards as instructed.
• Coordinate with technicians, parts, and other departments to ensure timely completion of repair orders.
• Follow up on customer appointments and assist in scheduling service bookings.
• Monitor the status of vehicles under service and provide updates to the Service Advisors.
• Ensure all customer and vehicle information is accurately entered into the system.
• Support invoice preparation, document verification, and filing activities.
• Maintain a clean, organized, and professional reception and service area.
• Ensure compliance with company policies, quality standards, and health & safety procedures.
• Assist with any additional duties assigned by the Service Manager to support departmental operations.
