Role Context The Administrator supports both the client-facing and operational needs of the brokerage division. As one of the first points of contact for property buyers, investors, business partners, and visitors, the role helps create a professional and welcoming experience while ensuring enquiries are directed efficiently to the appropriate sales or management team. Behind the front desk, the Administrator keeps brokerage activity organized through accurate documentation, data entry, filing, scheduling, tracker maintenance, and follow-up. Reliable administration helps Property Consultants and Sales Managers remain focused on client engagement, property transactions, and revenue-generating activities.
Key Responsibilities
- Manage the reception desk and maintain a professional, organized, and welcoming front-office environment.
- Greet property buyers, investors, business partners, clients, and other visitors courteously.
- Identify visitor requirements and direct them to the appropriate Property Consultant, Sales Manager, or department.
- Answer incoming telephone calls professionally and screen or transfer enquiries as required.
- Provide basic information to visitors and callers while referring specialized property or sales enquiries to the relevant team.
- Coordinate visitor appointments and maintain meeting room schedules.
- Prepare meeting spaces before client appointments, internal discussions, or presentations where required.
- Receive incoming documents, correspondence, packages, and courier deliveries.
- Coordinate outgoing documents and courier requirements while maintaining appropriate records.
- Provide daily administrative support to brokerage managers, sales teams, and Property Consultants.
- Prepare and organize documents, reports, trackers, presentations, and administrative records.
- Perform accurate data entry across relevant client, property, lead, and sales records.
- Maintain structured electronic and physical filing systems.
- Scan, print, copy, file, and archive documents according to business requirements.
- Draft routine emails, letters, notices, and internal correspondence when requested.
- Maintain document accuracy and ensure outdated or incomplete information is identified for correction.
- Assist with scheduling meetings, appointments, internal reviews, and brokerage activities.
- Maintain office supply levels and coordinate replenishment of administrative materials.
- Support Property Consultants with documentation required for property sales and client follow-up.
- Assist Sales Managers with administrative coordination and reporting requirements.
- Maintain updated records for clients, leads, properties, and brokerage activity.
- Support preparation of property forms, sales presentations, marketing materials, and supporting documentation.
- Follow up with sales personnel regarding outstanding documents, approvals, signatures, and administrative requirements.
- Assist with property listing updates when assigned.
- Verify that listing information and supporting records remain current and properly organized.
- Maintain administrative trackers covering pending actions, documents, approvals, and requests.
- Provide clear status updates when management requires visibility of outstanding items.
- Coordinate administrative requirements with Sales, Marketing, Finance, HR, and other internal departments.
- Follow up with relevant teams to ensure pending requests and approvals move forward.
- Support property launches, sales events, brokerage meetings, and client-facing activities.
- Help prepare documents, visitor lists, presentations, or logistical requirements for brokerage events.
- Maintain confidentiality when handling client, employee, financial, commercial, or sales-related information.
- Maintain professional communication with senior executives, investors, property buyers, and internal stakeholders.
- Ensure all administrative records are accurate, organized, and accessible to authorized personnel.
- Perform additional front-office and administrative duties assigned by management.
Ideal Profile
- Bachelor 's degree or another relevant educational qualification.
- Previous experience in administration, reception, front office, sales coordination, or customer service is preferred.
- Experience within Real Estate, property brokerage, or a sales-driven environment is an advantage.
- Excellent written and spoken English.
- Strong knowledge of Microsoft Excel.
- Proficient in Microsoft Word.
- Comfortable preparing presentations using Microsoft PowerPoint.
- Working knowledge of Microsoft Outlook for email, calendars, and meeting coordination.
