You will work under the Service Manager, liaise with customers and staff, and handle related cost allocations and reporting duties as part of daily operations.

Responsibilities

• Ensure warranty administration for the service department is updated and accurate.
• Register vehicles under warranty on the warranty system.
• Process invoices for warranty work accurately and timeously.
• Compile and review necessary reports; assist with service administration as needed.
• Check warranty progress daily and verify job cards, chassis and engine numbers, and service history.
• Track debtors and outstanding cash; assist with banking and remittance processes.

MAIN JOB FUNCTIONS:

• To ensure that the warranty administration related to the service department is updated and accurate.
• Directly responsible to the Service Manager.
• Relationships with Customers and company staff.
• Capital expenditure: No purchasing authority.
• Operational expenditure: No credit note authority.
• Ensure that vehicles under warranty are registered on the warranty system.
• Cross departmental disciplines.
• Compile necessary reports.
• Assist with service administration when necessary.
• Assist with service calls when necessary.
• Check warranty in progress daily.
• Check Job Cards daily.
• Sales, manufacturing dates are correct.
• Chassis and engine numbers correct.
• Check service history.
• Check extra work required.
• Correct allocation of costs.
• Process invoices for outwork accurately and timeously.
• Quotations, when necessary.
• Correct labour costs to be allocated to repair costs.
• Correct errors in warranty claims, when necessary.
• Do general costing accurately.
• Check work in progress.
• Attend to queries and corrections.
• Do job card reversals, when necessary.
• Check that previous day's invoices are reflected on system.
• Compile necessary reports.
• Assist with warranty administration when necessary.
• Assist with service calls when necessary.
• Banking.
• Track debtors.
• Track outstanding cash.
