Job summary

Optential is seeking a hands-on Warehouse & Logistics Manager to own day‑to‑day warehouse and logistics operations. You will lead a small team, ensure accurate stock, smooth order processing, invoicing, and documentation, and drive efficient OTIF deliveries.

The role covers primary distribution, warehousing, invoicing support, exports, certification, and weekly reporting. You will implement SOPs, monitor safety, and optimise cost‑to‑serve in a fast‑paced environment.

Responsibilities

• Coordinate logistics: tracking, delivery scheduling, transport bookings and invoices.
• OTIF: manage customer orders to ensure on-time and in-full deliveries.
• Oversee full logistics network, including outsourced transport and rate negotiation.
• Oversee warehouses (own and outsourced) and ensure stock levels meet orders.
• Maintain accurate records: deliveries, shipments, PODs, GRVs, and ERP movements.
• Export control: ensure timely exports with all required documents.
• Certification: track organic movements and Mass Balance with proper paper trails.
• Reporting: weekly SOH, ageing reports, and management warehousing data.

We are looking for a hands‑on and dependable Warehouse & Logistics Manager to take ownership of the day‑to‑day management of our warehouse and logistics operations.
This role is ideal for someone who is organised, proactive and comfortable leading a team in a fast‑paced operational environment. The successful candidate will be responsible for ensuring that stock, workflow, dispatch, logistics and general warehouse activities are well coordinated, accurately managed and completed on time.
We are looking for a practical leader who communicates clearly, delegates effectively, holds people accountable and follows through on commitments. Strong attention to detail, good planning skills.

To provide efficient administrative and operational support to the warehouse and logistics functions. This role supports the daily coordination of order processing, invoicing, inventory updates, and logistics documentation, ensuring a smooth workflow that assists internal teams and external customers. The Operations Administrator reports directly to the Warehouse & Logistics Manager and plays a key role in executing the team’s administrative processes.

1. Logistics

• Manage primary distribution orders from co‑packers, including order tracking, delivery scheduling, transport bookings, purchase orders and invoices, product date requirements, and transport documentation.
• Coordinate with warehouse and transport teams to ensure timely dispatch and collection of orders.
• Manage customer orders to ensure deliveries are completed on time and in full (OTIF).
• Monitor and update order statuses, providing timely feedback to internal teams and customers.
• Manage the full logistics network, including outsourced and company‑managed transport, while ensuring competitive rates across all routes.
• Engage with customers and distribution centres to improve order efficiency and identify opportunities to reduce cost‑to‑serve.
• Manage relationships with key suppliers, logistics service providers and customer distribution centre contacts.
• Coordinate the transportation of raw materials to contract packers and warehouses.
• Ensure tracking information and relevant logistics updates are communicated to stakeholders.
• Oversee the day‑to‑day management of the operational inbox and ensure queries and requests are addressed promptly.

2. Warehouse

• Manage the full function of the warehouses (own and outsourced SG)
• Ensure sufficient stock to fulfil orders in the right warehouse while staying within the stock days target
• Overall accountability for the CHEP account
• Get warehouse stock counts from all regions, check invoices and reconcile stock balances.
• Manage warehouse efficiency, process and ensure implementation of safety protocols.
• Setup and Implementation of all warehouse and logistical SOP’s.
• Ensure damages/stock loss are minimised and protocols in place to mitigate

3. Invoicing and Administrative Support

• Prepare and process shipping and operational invoices.
• Assist Finance with billing accuracy and documentation submission.
• Maintain accurate records of deliveries, shipments, returns, PODs, and GRVs.
• Ensure movements are captured on ERP to ensure stock and invoicing flow remains seamless
• Review transport invoices before handing over for processing.

4. Exports

• Control al 6. Reporting l exports from SA – Commercial Invoices, Packing List, BOL/AWB, COI all relevant transport documentation
• Ensure exports leave in a timely manner

5. Certification

• Ensure all organic movement is tracked and captured on Mass Balance.
• Ensure Mass balance is up to date.
• Sufficient paper trail of all organic products is saved in a timely manner.

6. Reporting

• Report on SOH weekly to team, alert any stock out issues and manage blocked stock.
• Monthly stock on hand reports (SA) + Ageing Weekly Case Fill Reports Compile monthly warehousing and distribution files for management presentation.
