Job summary

The Talent Room client, a well-established motor dealership in the Cape Town area, seeks an experienced Vehicle Invoice Clerk to accurately invoice new and used vehicles and verify all deal documentation, pricing, VAT, financing and vehicle details before invoicing and delivery.

Responsibilities include processing invoices, checking OTPs, reconciliations, liaising with Sales, F&I, Accounts and stock control, and ensuring compliance with dealership requirements.

Qualifications

• Grade 12 / Matric.
• 2-3 years' experience in vehicle invoicing within a motor dealership; franchised dealership experience is highly advantageous.
• Strong knowledge of automotive vehicle invoicing processes.
• Experience with a Dealer Management System (DMS) such as Evolve, Pinnacle, Kerridge, CDK, Keyloop or similar.
• Good understanding of vehicle sales documentation and dealership processes.
• Computer literate with MS Excel, Word and Outlook skills.
• Excellent numerical ability and attention to detail.
• Strong organisational and administrative skills.
• Ability to work accurately under pressure in a high-volume dealership.
• Valid Driver's Licence.

Responsibilities

• Process and prepare vehicle invoices accurately and timeously.
• Verify vehicle sales documentation before invoicing.
• Ensure correct vehicle details, customer details, pricing, discounts and VAT are captured.
• Check Offer to Purchase (OTP) documentation and ensure all required approvals are in place.
• Verify finance approvals, deposits and proof of payment where applicable.
• Process invoices for cash, financed and other vehicle transactions.
• Ensure accessories, extras, delivery charges and other applicable costs are correctly reflected.
• Process vehicle stock transfers and related documentation where required.
• Ensure vehicles are correctly invoiced and removed from stock once delivered.
• Reconcile vehicle invoices against deal documentation and dealership records.
• Liaise with Sales Executives, F&I, Accounts, Vehicle Stock Control and management regarding invoice queries.
• Follow up on outstanding documentation and discrepancies.
• Maintain accurate filing of invoices and supporting documentation.
• Assist with month-end vehicle stock and invoice reconciliations.
• Ensure all invoicing complies with dealership and manufacturer requirements.
• Provide general administrative support to the Sales and Finance departments when required.
