Job summary

Wild Dreams Hospitality is seeking a meticulous Reservations Administrator to support bookings for one of our international lodge collections in Namibia. Join a close-knit team, manage inquiries, and maintain accurate PMS entries with a focus on rates, deposits, and invoicing.

Ideal candidates will have solid reservations or hospitality admin experience, strong PMS and Booking.com knowledge, and the ability to handle remote-destination logistics with precision and professionalism.

Qualifications

  • Solid reservations or hospitality admin experience, ideally within a lodge, camp, or luxury travel environment.
  • Strong working knowledge of a PMS and third-party booking platforms (e.g. Booking.com).
  • Comfortable managing rates, including rack and contracted STO rates.
  • High attention to detail, particularly around deposits, payment terms, and invoicing.
  • Excellent written and verbal communication, with a professional phone and email manner.
  • Able to commit to the role on a long-term basis.

Responsibilities

  • Manage all incoming reservations enquiries via email and phone, responding promptly and accurately.
  • Capture and maintain booking details correctly within the PMS.
  • Track provisional reservations and follow up ahead of expiry dates.
  • Confirm bookings against the correct rates and ensure all charges are reflected on invoices.
  • Monitor deposit and final payment collection in line with terms and conditions.
  • Flag any outstanding payments to the Reservations Manager.
  • Maintain a strong working knowledge of rooms, activities, facilities, and the wider competitor landscape.
  • Understand property logistics thoroughly, including arrival and departure routing for remote destinations.
  • Liaise with the operations team on ongoing client requirements and pass on potential sales leads.
  • Assist with ad hoc projects for the Reservations, Sales, and Marketing teams as needed.
