Job summary

Generative is seeking a hands-on operations professional to own contractor administration, onboarding, timesheets, approvals, invoicing, contracts, and compliance for our growing AI talent consultancy. You will research, select, and set up new systems as needed, and manage end-to-end ops across time zones.

You will also support hires, CRM data, event logistics, and general admin for marketing. Reporting to the Head of Marketing, this remote role rewards a self-starter who communicates clearly

Qualifications

• Follow a process accurately and consistently.
• Chase outstanding documents, approvals and payments.
• Clear written English.
• Enough confidence with numbers to identify when a timesheet and an invoice disagree.
• The habits of a self-starter.
• Comfort working remotely across time zones, with UK hours overlap.
• A legal, paralegal or contracts background is a plus, not a requirement.

Responsibilities

• Contractors: Prepare and send contractor documentation, onboard new contractors onto our systems, chase timesheets and approvals to completion each week, and handle offboarding.
• Contracts and compliance: Keep templates current and correctly versioned, track what has been signed and against which version, maintain compliance records, and run the review calendar.
• Finance administration: Maintain purchase orders, support invoicing, and identify where hours worked and hours billed do not match.
• Tools, equipment and spend: Order and track hardware, manage software licences and seats, and monitor spend across the stack. If no system exists, research options, recommend one and set it up.
• AI tools and policy: Track which AI tools the team uses and what they cost, monitor usage against licences, and keep our internal AI usage policy current as tooling changes.
• People and office: Support new hire contracts and onboarding, book travel, and provide general administrative support.
• Marketing administration: Ad hoc support for the marketing function: gather client success details from consultants, keep CRM records accurate, and handle event logistics.
