Generative is seeking a hands-on operations professional to own contractor administration, onboarding, timesheets, approvals, invoicing, contracts, and compliance for our growing AI talent consultancy. You will research, select, and set up new systems as needed, and manage end-to-end ops across time zones.
You will also support hires, CRM data, event logistics, and general admin for marketing. Reporting to the Head of Marketing, this remote role rewards a self-starter who communicates clearly
We are a British startup working in AI talent. We work in two ways, and each has its own brand and website.
1. Permanent hiring for early-stage AI companies.
2. Forward deployed engineering, which is contract-based and run in a consultancy style with SOW's.
The contract side of the business is growing, and with it the administration that keeps contractors documented, approved and paid. This role owns that work.
This is a hands-on operations role reporting to the Head of Marketing. You will run contractor documentation and onboarding, chase timesheets and approvals, keep purchase orders and invoicing straight, and look after contracts, policies and compliance. Several of the systems this work needs do not exist yet. You will research them, choose them and set them up.
You will own business operations end to end.
1. Contractors. Prepare and send contractor documentation, onboard new contractors onto our systems, chase timesheets and approvals to completion each week, and handle offboarding.
2. Contracts and compliance. Keep templates current and correctly versioned, track what has been signed and against which version, maintain compliance records, and run the review calendar.
3. Finance administration. Maintain purchase orders, support invoicing, and identify where hours worked and hours billed do not match.
4. Tools, equipment and spend. Order and track hardware, manage software licences and seats, and monitor spend across the stack. Where no system exists yet, research the options, recommend one and set it up.
5. AI tools and policy. Track which AI tools the team uses and what they cost, monitor usage against licences, and keep our internal AI usage policy current as the tooling changes.
6. People and office. Support new hire contracts and onboarding, book travel, and provide general administrative support.
7. Marketing administration. Ad hoc support for the marketing function: gathering the detail behind client success stories from the consultants who delivered them, keeping CRM records accurate, and handling logistics for events we attend and host.
This is an early operations role in a fast-growing startup. You will build the processes rather than inherit them, and the scope grows as the business does.
1. You follow a process accurately and consistently without needing to be reminded.
2. You are comfortable chasing people for outstanding documents, approvals and payments, and persistent enough to follow up repeatedly.
3. Clear written English. Most of your contact with contractors, clients and the team is written.
4. Enough confidence with numbers to identify when a timesheet and an invoice disagree.
5. The habits of a self-starter. You work out how to do something new rather than waiting to be shown.
6. Comfort working remotely across time zones, with enough of your day overlapping UK hours.
7. A legal, paralegal or contracts background is a plus, not a requirement.
