Property Manager

The Property Manager we are looking for will be responsible for the management of approximately six properties for a Private Property Fund.
The candidate should have at least 10 years’ Retail and Commercial Property Management experience. The candidate will be required to; maximise property performance, maintain tenant relations and ensure that the Property Owner’s expectations are met. The role requires excellent interpersonal skills and strong financial acumen.
The Property Manager is the primary point of contact with the Landlord and will need to ensure that the Landlord’s expectations for the management of the property are met.
Financial and Administrative
- Preparation of and implementation of detailed Property Budgets and cash forecasts
- Ensuring Tenants are correctly billed and all rent and recoveries are billed and collected
- Keeping arrears at agreed minimum levels
- Cost benchmarking, cost control, and management
- Quote and Cost analysis and comparisons to motivate expenditure for maintenance and capex spend.
- Ensuring Utility Recoveries are maximised
- Attending regular meetings with the landlord and ensuring that all agreed reporting formats and timelines are met
Leasing
- Assisting with marketing and filling of Vacant Spaces including ensuring vacancy schedules are distributed, dealing with broker enquiries and attending broker and potential tenant meetings
- Renewing existing tenants’ leases at least 6 months prior to expiry
- Negotiating lease terms and specific lease clauses with Tenants on behalf of the Landlord – in accordance with Landlord mandate
- Ensuring all tenants have valid current leases and security (deposits or bank guarantees) in place
- Manage and oversee sourcing, vetting and installation of new tenants as well as vacating of leaving tenants
- Liaising with Brokers
Operations/Facilities
- The role is supported by a Facilities Manager but the Property Manager retains oversight and responsibility for;
- Management of maintenance, cleanliness and repair of the Property and equipment
- Management of on-site Building Staff – where required
- Regular Inspections of the Property
- Cost Benchmarking and ensuring contracts in place with existing service providers
- Management of contractors in accordance with agreed service level agreements and review of contracts on a regular basis
- Preparing and instituting a service, preventative maintenance, and replacement program
- Ensuring Buildings and Tenants comply with Occupation Health and Safety Act and that all annual services, checks, fire drills, etc. are undertaken/performed.
- Ensure Tenant electrical COC’s and Occupation Certificates are in place.
Requirements
- Must hold valid Fidelity Fund Certificate
- Strong understanding of the law of contract – specifically lease agreements.
- Excellent communication, negotiation, and organizational skills
- Good understanding of physical operation and management of multi-tenanted buildings
- including lifts, central air-conditioning plants, access control systems, fire regulations, and
