Property Manager

Seeking an experienced Property Manager to take full accountability for a diversified portfolio of retail, commercial and industrial properties across Gauteng and Pretoria. The role is the principal link between the landlords, tenants and the internal property management team, with responsibility for portfolio performance, client service, financial management, leasing oversight, compliance and day-to-day property operations.The successful candidate must have at least 10 years’ relevant experience managing retail and commercial property portfolios. They will be accountable for overall property performance, landlord and tenant relationships, financial and operational oversight, and delivery against the service level agreements agreed with each client. This senior role requires strong financial acumen, commercial judgement, leadership capability and excellent interpersonal skills.
Financial and Administrative
- Prepare, motivate and implement detailed annual property budgets, capital expenditure budgets and rolling cash-flow forecasts in accordance with landlord mandates and agreed reporting deadlines.
- Monitor actual performance against approved budgets, investigate material variances and provide clear commentary and corrective recommendations to landlords.
- Ensure tenants are billed accurately and timeously for rent, operating costs, utilities and all other recoveries, and work with the Property Management Accountant to ensure amounts due are collected and discrepancies are resolved.
- Manage arrears proactively and maintain outstanding balances within landlord-approved targets through timely follow-up, payment arrangements, escalation and legal action where authorised.
- Cost benchmarking, cost control, and management
- Quote and Cost analysis and comparisons to motivate expenditure for maintenance and capex spend.
- Ensuring Utility Recoveries are maximised
- Attending regular meetings with the landlord and ensuring that all agreed reporting formats and timelines are met
Leasing
- Assisting with marketing and filling of Vacant Spaces including ensuring vacancy schedules are distributed, dealing with broker enquiries and attending broker and potential tenant meetings
- Commence lease-renewal negotiations at least six months before expiry, or earlier where required by the lease or landlord mandate, and track each renewal through approval, signature and implementation.
- Negotiating lease terms and specific lease clauses with Tenants on behalf of the Landlord – in accordance with Landlord mandate
- Ensuring all tenants have valid current leases and security (deposits or bank guarantees) in place
- Manage and oversee the sourcing, due diligence, approval, installation and occupation of new tenants, as well as the exit inspections, reinstatement obligations, final accounts and handover requirements for vacating tenants.

Operations/Facilities
- The role is supported by a Facilities Manager; however, the Property Manager retains overall accountability for property operations, service-provider performance, maintenance planning, statutory compliance and the quality of the tenant environment.
- Management of maintenance, cleanliness and repair of the Property and equipment
- Management of on-site Building Staff – where required
- Conduct and document regular property inspections, track identified defects and compliance issues, assign corrective actions and follow through until closure.
- Cost Benchmarking and ensuring contracts in place with existing service providers
- Management of contractors in accordance with agreed service level agreements and review of contracts on a regular basis
- Prepare, implement and monitor planned preventative maintenance, statutory servicing and lifecycle replacement programmes, supported by appropriate budgets and maintenance records.
- Ensure that properties, on-site teams, service providers and tenants comply with applicable occupational health and safety, fire and building requirements, and that statutory inspections, annual services, emergency procedures and fire drills are completed and properly recorded.
- Ensure that required tenant and property compliance documents are current and retained, including electrical Certificates of Compliance, occupancy certificates and other licences or approvals required for lawful occupation and trading.
Requirements
- A valid Fidelity Fund Certificate, where required for the functions performed in the role.
- A relevant tertiary qualification in property management, real estate, business, finance or a related field is preferred. Demonstrated experience leading multidisciplinary property teams and service providers, managing multiple landlord mandates, and presenting financial and operational performance to clients is essential.
- Strong financial acumen, including practical experience with property budgets, cash-flow forecasting, management accounts, arrears, utility recoveries, operating-cost reconciliations, capital expenditure and variance analysis.
- Strong understanding of the law of contract – specifically lease agreements.
- Excellent communication, negotiation, and organizational skills
- Good understanding of physical operation and management of multi‑tenanted buildings including lifts, central air‑conditioning plants, access control systems, fire regulations, and compliance
- Proficiency in Microsoft Outlook, Word and Excel is required. Practical experience using MDA or a comparable property management and accounting system is strongly preferred.
