Personal Assistant to the Managing Director (JB6273)

R15 000 to R20 000 a month CTC

An established furniture manufacturing company requires a confident and highly organised Personal Assistant to provide direct administrative and operational support to the Managing Director. The successful candidate must be comfortable working in a demanding environment, handling confidential information, managing multiple priorities and communicating proactively with management, employees and external stakeholders.
Minimum Requirements:
- Matric or an equivalent qualification
- A relevant Secretarial, Administrative or Business Management qualification would be advantageous
- Previous experience as a Personal Assistant, Executive Assistant or senior administrator
- Experience supporting a Managing Director, CEO or senior executive would be advantageous
- Strong personality with a confident and professional manner
- Excellent written and verbal communication skills
- Highly organised, proactive and able to work independently
- Able to manage confidential and sensitive information with discretion
- Strong diary, meeting and task-management abilities
- Proficient in Microsoft Word, Excel, Outlook and PowerPoint
- Able to prepare professional correspondence, documents and reports
- Comfortable taking instruction while also using initiative
- Able to manage pressure, changing priorities and tight deadlines
Duties and Responsibilities:
- Provide comprehensive administrative and organisational support to the Managing Director
- Manage the Managing Director’s diary, appointments, meetings and reminders
- Coordinate meeting arrangements and prepare the necessary documents and information
- Record meeting notes, action items and follow up with the relevant employees
- Draft correspondence, reports, presentations and other business documents
- Screen and manage calls, emails and requests directed to the Managing Director
- Maintain confidential records, files and business information
- Monitor deadlines, outstanding tasks and management instructions
- Liaise professionally with employees, suppliers, customers and other stakeholders
- Gather information from departments and consolidate it into management reports
- Communicate urgent matters, risks and delays proactively
- Assist with special projects and operational requirements as instructed
- Maintain an accurate filing and document-management system
- Ensure important matters are followed through to completion
