Minimum Requirements:
- Relevant qualification in Document Control, Project Administration, Business Administration, Office Administration, Project Management or a related field.
- Approximately 2–5 years' experience in Document Control, Project Administration or a similar project support role.
- Previous experience within the mining, engineering, construction, EPCM or project environment.
- Practical experience in document control and document management.
- Strong understanding of document registers, version control, document distribution and filing procedures.
- Experience managing technical and project documentation.
- Strong Microsoft Office skills, particularly Excel and Word.
- Experience with document management systems or project management systems will be advantageous.
- Must be willing and able to work full-time from the client's offices in Bryanston, Johannesburg.
Roles & Responsibilities:
Document Control
- Maintain and manage project document control systems and processes.
- Maintain accurate document registers and databases.
- Receive, register, distribute and track project documentation.
- Ensure documents are correctly named, numbered, filed and version-controlled.
- Manage document revisions and ensure the latest approved versions are available to relevant stakeholders.
- Maintain electronic and hard-copy filing systems.
- Track document submissions, reviews, approvals and outstanding documentation.
- Distribute controlled documents to internal and external stakeholders.
- Ensure obsolete or superseded documents are appropriately archived.
- Assist with maintaining document control procedures in accordance with company and project requirements.
- Ensure project documentation is accurate, complete and readily accessible.
- Assist with document audits and information retrieval when required.
Project Documentation & Administration
- Provide administrative support to the project team as required.
- Assist with maintaining project registers, trackers and schedules.
- Maintain registers for correspondence, submissions, approvals, actions and deliverables.
- Assist with preparing and distributing project meeting documentation.
- Take and distribute meeting minutes where required.
- Maintain action registers and follow up on outstanding actions.
- Assist with general project correspondence and document-related queries.
- Support the Senior Document Controller with project administration requirements.
Reporting
- Assist with the preparation of weekly and monthly project reports.
- Compile and maintain information required for project reporting.
- Update project trackers and spreadsheets.
- Prepare document control status reports.
- Track outstanding submissions, approvals and deliverables.
- Provide accurate document control information to the project team and management.
- Assist with preparing presentations and management reports where required.
Contractor & Stakeholder Coordination
- Receive and manage documentation from contractors, consultants, suppliers and other project stakeholders.
- Ensure contractor and supplier documentation is submitted in the required format.
- Track outstanding documentation and follow up with relevant parties.
- Assist with document distribution to contractors and consultants.
- Maintain accurate records of project correspondence and submissions.
- Liaise professionally with internal and external stakeholders regarding documentation requirements.
Procurement & Project Support
- Assist with the administration of procurement-related documentation.
- Maintain records of purchase requisitions, purchase orders and supporting documentation.
- Assist with tracking procurement documentation and outstanding submissions.
- Maintain project records relating to contractors, suppliers and consultants.
- Assist the project team with general administrative and coordination requirements.
Compliance & Records Management
- Ensure project documentation complies with company and project requirements.
- Maintain accurate records for audit and management purposes.
- Ensure confidential and commercially sensitive information is appropriately managed.
- Assist with document archiving and project close-out activities.
- Maintain a structured and professional document management environment.
