Minimum Requirements:
- A relevant qualification in Project Administration, Business Administration, Office Administration, Project Management or a related field.
- Minimum of 5 years' Project Administration experience within the mining industry.
- Previous experience providing administrative support to a Mine Manager, Mining Manager, Project Manager, Engineering Manager or senior mining management is highly advantageous.
- Proven experience working on a mine site or within a mining operation.
- Strong understanding of mining project administration, reporting and document management.
- Experience with project documentation, meeting coordination, action registers and reporting.
- Strong Microsoft Office skills, particularly Excel.
- Experience working with mining/project management systems.
- Must be comfortable working full-time on-site in Balfour, Mpumalanga.
Important:
Candidates must have direct mining Project Administration experience. General administration, construction administration or office administration experience without mining exposure will not be considered.
Roles & Responsibilities:
Project & Mine Manager Administration
- Provide comprehensive administrative support to the Mine Manager.
- Manage the Mine Manager's diary, meetings, appointments and site commitments.
- Coordinate internal and external meetings, including preparation of agendas and supporting documentation.
- Prepare meeting minutes, action lists and follow up on outstanding actions.
- Coordinate communication between the Mine Manager, project teams, contractors, consultants and other stakeholders.
- Maintain confidentiality of sensitive operational and commercial information.
Mining Project Administration
- Provide day-to-day administrative support to mining projects and operational activities.
- Maintain project registers, trackers, schedules and administrative records.
- Assist with monitoring project milestones, deliverables and outstanding actions.
- Maintain accurate project documentation and ensure information is readily accessible.
- Assist with project reporting and compilation of management reports.
- Track project-related correspondence, approvals and outstanding documentation.
- Assist with the preparation and distribution of project documentation.
Document Control & Reporting
- Maintain structured electronic and hard-copy filing systems.
- Ensure project and operational documents are correctly filed, version-controlled and distributed.
- Compile weekly and monthly reports for the Mine Manager and management team.
- Maintain registers for correspondence, actions, submissions, approvals and project deliverables.
- Assist with preparing presentations, spreadsheets and management reports.
- Ensure documentation is accurate, current and available for audits or management review.
Contractor & Stakeholder Coordination
- Assist with contractor and supplier administration.
- Maintain contractor documentation and relevant project records.
- Coordinate meetings and communication with contractors, consultants and service providers.
- Follow up on outstanding documentation, submissions and actions.
- Assist with tracking contractor deliverables and project-related requirements.
Procurement & Financial Administration
- Assist with purchase requisitions, purchase orders and procurement documentation.
- Maintain procurement trackers and follow up on outstanding orders.
- Assist with invoice and supporting-document administration.
- Maintain records relating to project expenditure and commitments.
- Assist with budget and cost-reporting administration where required.
Compliance & Site Administration
- Support the Mine Manager with administrative requirements relating to mining compliance and site procedures.
- Maintain records required for internal and external audits.
- Assist with ensuring project documentation complies with company standards and procedures.
- Coordinate required submissions and supporting documentation.
- Maintain accurate records relating to site activities, meetings and project requirements.
