Job summary

Elev8, a global consulting firm, seeks a Bid Coordinator to join the CBD Cape Town bid team in a hybrid role. You will compile and submit tenders, liaise with technical and business development colleagues, and ensure high-quality responses within deadlines.

Minimum 5 years in bid coordination with strong MS Office skills is essential. The role involves coordinating with external partners and maintaining a library of reusable bid components.

Qualifications

• Bachelor's degree/diploma in Business Administration, Project Management, Supply Chain Management or relevant field.
• At least 5 years of bid coordination, grant submission, tendering or bid trawling experience.
• Knowledge of government tendering processes and PFMA/PPPFA regulations.
• Knowledge of international tendering processes and requirements.
• Familiar with local and international bid submissions with development partners such as GIZ, DFID, USAID, World Bank, EU.
• Proven track record of planning and driving tender processes and submissions; operational excellence.
• High proficiency with MS Office Excel and Word.

Responsibilities

• Bid Development: analyze RFQs, RFPs, and RFIs; prepare outlines and plans.
• Coordinate kickoff and debrief meetings; create plans, templates, and compliance matrices.
• Drive strategy and solutions to create winning submissions.
• Engage with stakeholders and management for reviews and approvals.
• Ensure compliance to RFP requirements and evaluation criteria.
• Lead or support development and submission of bid responses with internal teams and partners.
• Maintain bid library and improve templates for future bids.
• Bid Administration: maintain bid database and track submissions.
• Coordinate registrations with clients/vendors; follow up on outcomes and debriefings.
• Provide weekly/monthly bid reports; stay updated on bid processes.
