Job summary

Dixie Recruitment is seeking a Sales Administrator for a dynamic South African logistics and export company. You will support export and logistics operations, ensuring smooth order processing and timely shipments for international clients.

Responsibilities include coordinating orders, handling documentation, liaising with carriers, and maintaining accurate records. Strong Excel skills and 3+ years in export/logistics are essential. Growth opportunities in a multinational environment.

Qualifications

• Minimum of 3 years experience in international shipping, export processes, or logistics.
• Strong knowledge of shipping lines, vessel bookings, and booking systems.
• Proven experience coordinating orders, export documentation, and customer communications.
• Excellent administrative, organizational, and communication skills.
• Familiarity with trade finance, including Letters of Credit.
• Proficiency in Microsoft Excel and other relevant software.

Responsibilities

• Provide administrative support to the sales team and Operations Manager.
• Manage the sales administration process from order receipt to delivery and documentation.
• Capture, process, and maintain sales orders accurately.
• Coordinate order confirmations, pricing, quantities, and delivery requirements.
• Keep customer and order records current and precise.
• Monitor order progress and follow up on outstanding actions.
• Liaise with sales reps, customers, suppliers, freight forwarders, shipping lines, and internal stakeholders.
• Ensure all sales and operational documentation is filed and accessible.
• Coordinate export logistics, including shipping bookings and vessel schedules.
• Work with shipping lines, freight forwarders, clearing agents, and ports.
• Track vessel availability, bookings, cut-off dates, ETDs, and ETAs.
• Manage shipment schedules and handle delays or changes.
• Provide updates on shipment developments and export documents (invoices, packing lists).
• Collaborate with customs and forwarding agents on export requirements.
• Maintain records of export documentation and correspondence.
• Apply Incoterms understanding for compliance and cost efficiency.
• Assist with letters of credit and trade finance documentation.
• Serve as primary contact for customer queries and build relationships.
• Support sales, shipping, and logistics activities for international markets.
