Requirements:
  • Diploma or Degree in Accounting, Finance, Bookkeeping, or a related field.
  • Minimum of 5 years' experience in a senior financial administration or bookkeeping role.
  • Previous experience within property management, sectional title, homeowners' associations, or community schemes is highly advantageous.
  • Strong knowledge of bookkeeping principles, reconciliations, budgeting, and management accounts.
  • Experience working with accounting software (Evolution/Sage Evolution preferred).
  • Sound understanding of CSOS, SARS, CIPC, and relevant legislation governing community schemes.
  • Proven experience preparing month-end management accounts and coordinating annual audits.
  • Strong analytical, problem-solving, and financial reporting skills.
  • Excellent attention to detail with a high level of accuracy.
  • Ability to prioritise multiple portfolios while meeting strict deadlines.
  • Strong communication and stakeholder management skills.
  • Advanced Microsoft Excel skills.
  • Ability to mentor and support junior financial administrators.
  • Professional, organised, and capable of working independently.
Responsibilities:
  • Manage the complete financial administration of a portfolio of community schemes.
  • Process and reconcile daily banking transactions and maintain accurate financial records.
  • Prepare and review monthly management accounts within prescribed deadlines.
  • Develop and implement annual budgets, levy schedules, and special levies.
  • Oversee debt collection processes, legal handovers, and insurance guarantee claims in accordance with company procedures.
  • Coordinate annual audit processes, ensuring all documentation is complete and submitted timeously.
  • Manage SARS submissions, tax calculations, assessments, and compliance requirements.
  • Monitor CSOS and CIPC financial compliance where applicable.
  • Process ownership transfers, financial adjustments, and portfolio changes.
  • Ensure accurate processing of levy income, payments, reconciliations, and third-party transfers.
  • Maintain compliance with company policies, financial controls, and legislative requirements.
  • Liaise with auditors, trustees, portfolio managers, legal representatives, and other stakeholders.
  • Identify financial risks, **escalate** concerns, and recommend appropriate solutions.
  • Provide guidance, support, and training to junior Financial Administrators.
  • Assist management with portfolio reviews, quality assurance, process improvements, and special projects.
  • Ensure exceptional client service through timely communication and resolution of financial queries.
  • Work collaboratively across departments to support operational and financial objectives.
