Job summary

University of Fort Hare is seeking an organized administrator to provide end-to-end PO and transporter admin support. The role covers PO creation, matching with quotes and invoices, and month-end accruals, alongside contract management and weight reconciliation processes.

You will monitor transporter performance against KPIs, maintain scorecards, handle non-conformances, and support ad hoc reporting for the commercial/logistics team. Strong numerical and SAP skills are essential.

Qualifications

• Strong numerical/analytical ability (percentages, ratios, variance calculations).
• Advanced Excel skills (VLOOKUP/XLOOKUP, pivot tables, IF/SUMIFS, basic dashboards).
• Familiarity with SAP/procurement systems.

Responsibilities

• Raise, amend, and close POs in the SAP/procurement system.
• Match POs to supplier quotes, contracts, and delivery notes; follow up on overdue POs.
• Reconcile PO values against invoices (3-way match: PO – GRN – Invoice).
• Maintain PO tracking register/dashboard and support month-end accrual reporting.
• Maintain and file transporter contracts, track renewal dates, and monitor KPIs.
• Log and follow up on non-conformances or penalties; coordinate reviews.
• Capture weighbridge mass and calculate weight variances; raise debit notes when required.
• Prepare transporter performance scorecards and ad hoc reports.
