Workplace Associate – JLL
What this job involves:
The Workplace Associate provides comprehensive workplace management services to create a best-in-class experience while supporting routine facility operations. As the first point of contact at Reception, this pivotal role delivers authentic service experiences that strengthen the bond between JLL, our clients, and their guests. The position involves continuous monitoring of facility conditions, procurement management, work order coordination, and welcoming employees with genuine hospitality. This role maintains smooth operations through exceptional customer service, thoughtful administrative support, and execution of duties to the highest professional standards.
What your day-to-day will look like:
- Create a comfortable, welcoming, and hospitable environment for employees and guests while serving as the first point of contact at Reception
- Monitor office and facility conditions continuously, managing internal and building work order systems, and coordinating maintenance activities
- Handle internal and external communications, including monitoring the main phone line, and directing teammates and guests to appropriate points of contact
- Manage visitor registration services, ensure regulatory compliance in access systems, and execute emergency response plans when necessary
- Maintain kitchen and break areas, monitor and stock supplies, and coordinate mail services including receipt, distribution, and outgoing deliveries
- Assist with meeting and conference room reservations while providing facility-specific support to the Workplace Management and project management teams
- Administer badge access systems, support budgetary requests and reporting, and ensure compliance with all HSSE guidelines
Required Qualifications:
- Associate's degree in facilities management, building management, business, or related field; OR 2+ years of experience in Facility or Property Administration
- Valid driver's license and reliable mobile transportation
- Superior customer service skills with the ability to maintain professionalism in stressful situations
- Experience with Corrigo or other CMMS/Automated Work Order systems
- Proficiency in Microsoft Office applications with advanced Excel skills for customizing administrative reports
- Strong written and verbal communication skills with excellent organizational abilities
- Ability to multitask, work independently, and demonstrate effective planning and time management skills
- Collaborative approach with the ability to anticipate client needs and create memorable experiences
Preferred Qualifications:
- Experience in delivering authentic, caring, and timely services in a workplace or hospitality environment
- Knowledge of facility operations, procurement management, and vendor coordination
- Familiarity with visitor management systems and regulatory compliance requirements
- Experience with invoice processing and work order coordination
- Understanding of kitchen management and supplies ordering processes

Work Shift: Monday to Friday, 8:00 AM – 5:00 PM
