WHO WE ARE LOOKING FOR

A highly organized and technically skilled individual with experience with timekeeping systems, particularly UKG, and a solid understanding of the complexities of employee attendance and payroll processes. This person should be detail-oriented, possess strong customer service, and communication skills. This employee will maintain confidentiality, and demonstrate the ability to manage multiple deadlines in a fast-paced environment. The ideal candidate will support districtwide time management operations by maintaining accurate records, and collaborating with campuses and departments to ensure timely and accurate payroll processing.

Minimum Required Qualifications

  • Education:
    • High school diploma or equivalent required.
  • Experience:
    • At least 2-3 years of experience in timekeeping, payroll, or related administrative roles.
    • Experience with UKG or other time management systems is strongly preferred.
    • Experience in data entry, report generation, and employee attendance processes.

Knowledge, Skills & Abilities

  • Strong understanding of timekeeping systems, payroll processes, and employee attendance policies.
  • Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint).
  • Ability to maintain accurate records and process detailed information with a high level of accuracy.
  • Ability to analyze and resolve routine payroll and timekeeping discrepancies.Ability to maintain confidentiality and handle sensitive information.
  • Excellent organizational and time management skills, with the ability to handle multiple tasks simultaneously.
  • Effective communication and interpersonal skills for support and collaboration across campuses and departments.
  • Ability to work in a team environment.
  • Ability to meet established deadlines.
  • Ability to perform in a fast-paced office environment.

MAJOR RESPONSIBILITIES AND DUTIES

General:

  • Provide workforce time management support to assigned campuses and departments by maintaining accurate employee timekeeping records, supporting district timekeeping processes, and ensuring timely reporting of employee work hours.
  • Perform workforce time management activities related to employee attendance, including daily processing, periodic reporting, attendance verification, end-of-year procedures, and support for campus and department UKG contacts.
  • Monitor employee timesheets for accuracy, completeness, timely approvals, and compliance with district payroll deadlines and procedures.
  • Serve as a resource to employees, supervisors, campuses, and departments by communicating payroll deadlines, resolving timekeeping issues, answering workforce time management questions, and providing guidance on payroll-related procedures.
  • Generate and distribute workforce time management, attendance, and payroll-related reports to support operational needs and attendance verification.
  • Maintain workforce time management files and supporting documentation for audit and compliance purposes.
  • Assist with tracking leave balances, workers' compensation leave, and Family and Medical Leave Act (FMLA) leave.
  • Support end-of-year payroll and workforce time management processes.
  • Maintain confidentiality of sensitive payroll and personnel information.
  • Promote positive customer service and professional working relationships with employees, campuses, and departments
  • Perform other duties as assigned by the Payroll Supervisor.

Safety:

  • Performs preventive maintenance on tools and equipment and ensures equipment operates safely.
  • Follows established safety procedures and techniques to perform job duties; operates tools and equipment according to established safety procedures.
  • Corrects unsafe conditions in the work area and promptly reports any conditions that are not immediately correctable to the supervisor.

  • Posture: Prolonged sitting and standing; occasional stooping, squatting, kneeling, bending, pushing/pulling, and twisting.
  • Motion: Frequent repetitive hand motions, including keyboarding and use of mouse; occasional reaching.
  • Lifting: Occasional light lifting and carrying (less than 15 pounds).
  • Environment: Works in an office setting; may require occasional irregular and/or prolonged hours.
  • Attendance: Regular and punctual attendance at the worksite is required for this position.
  • Mental Demands: Maintains emotional control under stress; works with frequent interruptions; ability to meet multiple payroll deadlines and timelines.
