This role coordinates new hire orientation, training logistics, attendance tracking, documentation, and recordkeeping while providing broad administrative support to Workforce Academy programs and initiatives. This position plays a key role in creating a positive onboarding experience for new workers while helping maintain the systems, processes, and organization needed to support workforce development activities across the business. This position is ideal for someone who enjoys bringing structure to fast-paced environments, managing details, and supporting multiple programs simultaneously.Key Responsibilities:Orientation & Onboarding CoordinationPrepare onboarding materials, packets, presentations, and required documentationEnsure all onboarding paperwork is completed accurately and routed appropriatelyServe as a primary point of contact for orientation-related questions and new hire logisticsPartner with HR, Operations, and department leaders to ensure a smooth onboarding experienceTraining CoordinationSchedule training classes, development programs, and workforce academy activitiesCoordinate training calendars, locations, materials, and instructor logisticsMaintain attendance records and monitor completion of assigned trainingTrack training certifications, qualifications, and required renewals as applicableSupport the administration of workforce development and training initiativesRecords, Reporting & DocumentationMaintain organized training, onboarding, and workforce development recordsTrack participation, completion rates, and other program metricsAssist with reporting and data collection related to Workforce Academy activitiesPrepare correspondence, reports, presentations, and program documentationEnsure records are accurate, organized, and audit-readyAdministrative SupportProvide administrative support for Workforce Academy programs and initiativesCoordinate meetings, schedule appointments, and prepare meeting materialsAssist with process documentation and continuous improvement effortsMaintain organized filing systems, templates, and program resourcesSupport special projects and operational initiatives as assignedCommunication & Participant SupportCommunicate training schedules, program updates, and important information to participantsRespond to routine questions regarding orientation, training, and Workforce Academy activitiesPromote a welcoming, professional, and engaging experience for program participantsBuild positive working relationships across HR, Operations, and functional teamsWhat We're Looking For:1–3 years of experience in an administrative, coordinator, training, onboarding, or program support roleStrong organizational skills and exceptional attention to detailAbility to manage multiple priorities and deadlines in a fast-paced environmentExcellent written and verbal communication skillsStrong customer service mindset with the ability to interact professionally with employees at all levelsProficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPointExperience maintaining records, tracking data, and coordinating schedulesAbility to handle sensitive information with professionalism and discretionExperience in manufacturing, workforce development, training, HR, or operations support environments preferredBilingual (Spanish) a plusAssociate's or Bachelor's degree preferred, or equivalent combination of education and experience
