Position Summary
The Work Control Assistant serves in the Work Control office by inputting work orders submitted by staff and residents in University Housing, which provides on‑campus housing options for 9,000+ students. The position schedules inspections and repairs for the low‑speed vehicles in University Housing’s fleet, monitors purchasing of fuel for the fleet, and acts as backup for the Work Control Manager in their absence. The Assistant also assists in overseeing student and temporary workers.
Minimum Qualifications
High school diploma or equivalent.
Preferred Qualifications
- Technical knowledge in the field acquired through an apprenticeship, a 2‑year degree, or professional certificate.
Knowledge, Skills, Abilities and/or Competencies
- Creates work orders with the expected degree of independence and limited mistakes.
- Effectively communicates and collaborates in a professional and consistent manner with building service workers, residence hall staff, students/families and other team members via telephone, in writing, or in person.
- Proven ability to work as a team member but also make effective independent decisions and follow through on assignments.
- Can effectively utilize a variety of computer applications, including OneSource, the Microsoft Office Suite, UGA email and employee websites.
- Adaptable to a fluctuating work environment.

Duties / Responsibilities
Work Control (80%)
- Assist the Work Control Manager with utilizing facilities software systems (Ready and AiM) and input work requests into the AiM system daily.
- Review after‑hours on‑call reports from residence life, security, and maintenance staff daily and follow up on maintenance or cleaning concerns.
- Work closely with residential building service managers, maintenance supervisors, skilled trades, and utility workers regarding work requests.
- Interact professionally and consistently with a variety of customers and colleagues via customer virtual service desk, telephone, and/or in person to coordinate work.
- Contact UGA Facilities Management Division Work Control when assistance is needed to complete work requests.
- Attach police reports to the appropriate work orders involving damage due to vandalism.
- Serve as the Work Control Manager in their absence.
Fleet Management (10%)
- Assist with managing a fleet of vehicles for University Housing.
- Schedule repairs for low‑speed vehicles through a vendor.
- Schedule bi‑annual inspections of low‑speed vehicles and visually inspect each of those vehicles during the inspections.
Other (10%)
- Assist in giving student and temp workers assignments or projects.
- Complete all training requirements and participate in team activities.
- Assist in creating the yearlong schedule for maintenance on‑call.
- Other duties consistent with the purpose and scope of this position, which may be assigned.
