Admin Fuel Supply - WA FT Kent, WA, US

5 days ago Requisition ID: 1355

Salary Range: $75,000.00 To $125,000.00 Annually

About the Role

PetroCard Inc. is seeking a results-driven Wholesale Unbranded Fuel Sales Executive to grow and manage our unbranded fuel customer portfolio across the Pacific Northwest (Washington, Oregon, and Idaho), selling ultra-low sulfur diesel (ULSD), gasoline, and renewable fuels. This role is the primary point of contact for unbranded wholesale customers, including high-volume unbranded buyers, independent retailers, and commercial and fleet accounts, and owns the relationship from daily pricing conversations through delivery and final invoicing. Reporting directly to the Director of Supply & Distribution, the role partners closely with dispatch to ensure on-time deliveries with no customer outages, and with back-office accounting to ensure invoices are priced and processed accurately. The ideal candidate combines strong market awareness and commercial instincts with the operational discipline to ensure every order is priced, delivered, and billed correctly.

Key Responsibilities
B2B Account Management
  • Build, expand, and retain relationships with high-volume unbranded buyers and regional distributors.
  • Contact unbranded wholesale customers daily to communicate spot pricing, discuss market movement, and win orders.
  • Develop account plans and identify opportunities to expand share with existing customers.
  • Serve as the primary point of contact for customer questions, concerns, and issue resolution.
  • Negotiate spot pricing on a load-by-load basis, including volume-based pricing on larger orders, while protecting company profit margins.
  • Quote spot prices based on daily rack prices and market movement, within approved margin guidelines.
  • Review customer profitability regularly and adjust pricing strategies to protect and grow margin.
  • Gather and document competitive pricing intelligence from customers and the street, and leverage industry pricing data (e.g., OPIS, Argus, Platts) provided by the Supply & Distribution team.
  • Monitor rack spreads, supply availability, and terminal conditions to identify margin opportunities and pricing risks.
  • Share market insights with Supply & Distribution, trading, and leadership teams to inform daily pricing decisions and strategy.
New Business Development
  • Prospect independent retailers, jobbers and resellers, and commercial, fleet, and bulk fuel accounts throughout Washington, Oregon, and Idaho.
  • Onboard new accounts, including credit applications and setup in pricing and billing systems.
Channel & Volume Strategy
  • Forecast customer demand and share expected volumes with Supply & Distribution to support terminal supply planning and lifting schedules.
  • Analyze volume trends by channel and customer to guide supply allocation and growth priorities.
Delivery Coordination & Fulfillment
  • Coordinate customer deliveries in partnership with dispatch to ensure on-time delivery and no customer outages.
  • Communicate customer delivery windows, site requirements, and inventory needs to dispatch and carrier partners.
  • Proactively address potential outages, allocation constraints, and delivery exceptions to minimize customer disruption.
  • Review customer invoices to confirm pricing matches what was quoted and communicated to the customer.
  • Verify that orders are processed correctly by back-office accounting, including delivered volumes, taxes, freight, and surcharges.
  • Partner with back-office accounting to promptly resolve any pricing or billing discrepancies so invoices go out correctly and payment is received on time.
  • Achieve volume, margin, and customer growth targets for the unbranded wholesale portfolio.
  • Maintain accurate customer records, pricing history, and activity in the CRM and pricing systems.
  • Review reports on volumes, margins, customer profitability, and market trends, and work with internal teams to develop ad hoc reports as needed.
  • Perform other duties as assigned to support the wholesale fuels business.
Qualifications
Required
  • Bachelor's degree in Business, Marketing, Supply Chain, or a related field, or equivalent work experience.
  • 3+ years of experience in wholesale fuel sales, petroleum marketing, supply, or a related commodity sales role.

  • Proven track record of new business development and demand forecasting in a B2B or wholesale environment.
  • Strong negotiation, communication, and relationship-building skills.
  • Proficiency in Microsoft Excel and CRM or ERP systems.
