Well Balanced Body in California is seeking a Front Desk Treatment Coordinator to welcome patients, manage check-in/out, keep visits on time, and deliver a concierge-level first impression in a compassionate, professional manner.

You will present treatment plans and memberships with clarity, handle scheduling, recalls, and payments, coordinate with care team, and support patient adherence to plans while upholding a calm, healing environment.

Qualifications

• 1–2+ years in a medical/wellness front desk, treatment coordinator, or patient care coordinator role (chiropractic, PT, dental, or med spa experience a plus)
• Comfortable discussing care plans, payments, and memberships
• Proficient with EHR/EMR systems and Google Workspace; fast, accurate typing
• Strong communication and interpersonal skills
• Passion for holistic, integrative wellness
• Ability to work collaboratively within a care team

Responsibilities

• Own the patient journey: Greet, check in/out, keep visits on time, and deliver a welcoming, concierge-level experience.
• Present care plans & memberships: Review treatment recommendations, answer questions, discuss payment options, and confidently close next steps.
• Scheduling mastery: Manage appointments, recalls, and follow-ups to keep patients on track with their plan of care.
• Financial coordination: Collect payments, set up memberships/recurring payments, manage superbills/receipts.
• Communication & retention: Send care reminders, track milestones, and celebrate wins to drive adherence and outcomes.
• Clinical flow support (front office level): Prep intake forms, vitals/posture photos as needed, coordinate room readiness, and assist with light therapy or kinesiology taping setup (training provided).
• Systems & accuracy: Maintain clean data in the EHR/EMR, update charts and notes from front-desk workflows, and follow SOPs.
• Team collaboration: Partner with providers and the operations team to continuously elevate patient experience and efficiency.
