About Us
We’re Denham Property & Injury Law Firm, a plaintiff-side firm based in Lexington, Kentucky, working across 12 states. We help homeowners and injury victims take on insurance companies when their claims get underpaid, delayed, or denied. We’re a tight team that moves fast, takes the work seriously, and actually cares about the people who call us.
The Role
We need a warm, sharp, reliable VA to be the voice of our firm from the end of the week through the weekend. Storm damage, car wrecks, and denied claims don’t wait for Monday, and the people who call us shouldn’t have to either. You’ll answer our main line, run intake on new potential clients, handle reception for existing clients, and keep our systems clean between calls.
On Thursdays, Fridays, and Mondays you’ll work alongside our US team. On Saturdays and Sundays, most of the office is off, so you’ll be our front line.
Schedule
You’ll work 9 AM to 5 PM Eastern, Thursday through Monday, with Tuesdays and Wednesdays off. This role exists to cover the weekend, so we’re strict about one thing: reliability.
What You’ll Do
- Answer calls on our main line professionally and warmly, following our intake and reception scripts.
- Run intake for new potential clients: gather the facts of their claim, log them in our CRM, complete missing details, and send confirmation and follow-up messages using our templates.
- Handle reception for existing clients: take accurate messages, route each call to the right team member, and escal…
- Monitor and triage incoming emails, web leads, and messages, and flag anything that can’t wait.
- Keep the CRM clean: update case records, close out stale tasks, and make sure every call and message got logged. If it’s not in the system, it didn’t happen.
- Manage calendars: schedule consultations, confirm upcoming appointments, and send reminders.
- Support our case teams between calls: format letters, organize case files, assemble PDFs, and get drafts ready for attorney review.
- Run recurring reports and end-of-shift checklists so the team starts each week knowing exactly what came in over the weekend.
Who We’re Looking For
- Excellent written and spoken English, with a clear, warm, professional phone voice. You’ll speak with US callers and write client-facing messages every shift.
- 2+ years as a receptionist, intake specialist, call center agent, VA, legal assistant, or insurance processor supporting US clients. Law firm, insurance, or intake experience is a big plus.
- Calm under pressure. Many callers have just had their home damaged or been hurt. You stay patient, kind, and in control of the call.
- Detail-obsessed. You catch the wrong date, the misspelled name, the missing field.
- Self-managing. On weekends you’ll work while most of our team is off, so you need good judgment about what can wait and what can’t.
- Quick with software: CRMs, phone systems, Microsoft 365 (Outlook, Teams, SharePoint, Excel), and PDF tools. You pick up new systems fast.
- Comfortable working a Thursday through Monday schedule, including every weekend.
- Fast, reliable internet with backup power and internet (required, not optional), a quality headset, and a quiet, private workspace.
- Understands confidentiality and the line between admin support and legal advice. You never tell a caller whether they have a case or what it’s worth.
