Job summary

Sonic Automotive's Audi of West Houston is seeking a Warranty Admin Manager to lead and optimize the dealership's warranty claim processes, ensuring compliance, accuracy, and maximum reimbursement from OEMs. You will coordinate with service advisors, technicians, and parts staff to maintain audit-ready documentation.

The role requires 3+ years of warranty administration in a dealership, strong OEM policy knowledge, and experience with CDK or Reynolds & Reynolds.

Qualifications

• 3+ years of automotive warranty administration experience in a dealership setting.
• Strong knowledge of OEM warranty policies and procedures, with the ability to audit and submit claims accurately and independently.
• Proficiency in dealership management systems (DMS) such as CDK, Reynolds & Reynolds, or similar platforms.
• Exceptional attention to detail and documentation review skills to ensure clean, compliant repair orders and minimize chargebacks.
• Effective communication and collaboration skills, with the ability to work closely with service, parts, and manufacturer contacts.

Responsibilities

• Accurately process and submit manufacturer warranty claims, ensuring full compliance with OEM policies and timelines.
• Audit repair orders for proper documentation, labor ops, technician notes, and time stamps to reduce claim denials and chargebacks.
• Reconciles all warranty receivables with payments through the appropriate accounting schedule.
• Act as the primary point of contact for all manufacturer warranty matters, including audits, inquiries, goodwill requests, and program submissions.
• Collaborate with service advisors, technicians, and parts personnel to ensure warranty documentation is complete, consistent, and audit-ready.
• Tracks warranty parts by tagging with repair order number, date of replacement, and date on which part may be disposed.
• Arranges for parts to be shipped to the factory or distributor, or to be scrapped.
• Monitor and manage warranty receivables, aging reports, and claim status to ensure timely reimbursement and minimize outstanding balances.
