Job summary

Power Systems West is seeking a Warranty Administrator to join our Boise team. You will manage warranty claims, support dealers and service teams, and track work in progress to ensure accurate submissions.

You will work closely with Service and Product Support, gain expertise in warranty programs, contracts, and vendor requirements, and help improve processes across branches.

Qualifications

  • High School Diploma or equivalent.
  • Experience in office, administrative, customer service, or related role.
  • Strong organizational and time-management skills with attention to detail.
  • Experience with warranty claims or service administration.
  • Proficient with Microsoft Word and Excel.

Responsibilities

  • Prepare, enter, submit, and track warranty claims.
  • Monitor warranty claim activity and provide reports across branches.
  • Manage warranty accounts receivable and invoicing to ensure timely processing.
  • Review warranty claims and required documentation to ensure compliance with BCEW and vendor guidelines.
  • Coordinate with Parts and Service departments to ensure required parts are returned and properly documented.
  • Follow up on outstanding warranty claims and resolve questions or issues from dealers and internal teams.
  • Coordinate extended warranty coverage requests and track them through invoicing.
  • Identify opportunities to improve warranty processes and overall efficiency.
  • Assist dealers with warranty-related questions, processes, and system access.
  • Support dealer employees with warranty website access and other warranty program needs.
  • Assist with reviewing and approving repairs in accordance with warranty and contract guidelines.
  • Review and maintain knowledge of warranty contracts, guidelines, and program requirements.
  • Monitor repair recommendations and track approved work.
  • Support fluid sample requests and communicate with fluid analysis laboratories as needed.
  • Work with the Service Administration Manager to help manage warranty contracts, business risk, and customer expectations.
  • Invoice and close warranty jobs after claim submission
  • Track warranty work in progress and follow up on claims that have not yet been invoiced.
  • Review reports, analyze data, and identify opportunities to improve processes and results.
  • Assist Local service team for other administrative support as needed
  • Assist with answering service department phones and other administrative duties as needed.

Power Systems West has sold and serviced small engines and generators throughout the Western United States since 1955 through five locations and a network of more than 500 dealers. Power Systems West locations include Portland, Oregon, Boise, Idaho, Seattle, Washington, Salt Lake City, Utah, and Denver Colorado. All locations offer 24/7 emergency service for power failures and unplanned outages.

As a Warranty Administrator, you will play an important role in managing warranty claims, supporting our dealers and service teams, tracking work in progress, and ensuring claims are submitted accurately and efficiently. You’ll work closely with our Service and Product Support teams while developing expertise in warranty programs, contracts, and vendor requirements.

Requirements
