Distribution Center Administrator

Position Summary
The Distribution Center Administrator provides administrative and operational support to the Distribution Center (DC) Supervisors and Manager. This position is responsible for organizing and maintaining shipping, inventory, and operational documentation while helping ensure established DC procedures and best practices are followed.
The ideal candidate is highly organized, detail-oriented, comfortable working with numbers, and able to manage multiple priorities. Previous distribution center or warehouse experience is a plus; however, candidates with strong clerical or administrative experience who are comfortable working in a warehouse environment are encouraged to apply.
Please Note: This position is based at a desk within the warehouse/distribution center and is not a traditional office environment.
Essential Responsibilities
Daily Administrative & Shipping Support
- Upload tracking numbers and PRO numbers from the previous shipping day.
- Organize and file dispatch documentation and Bills of Lading (BOLs).
- Verify ASN and PRO information against shipped orders for accuracy.
- Coordinate plans to pull and ship customer samples.
- Enter inventory adjustment tickets from the previous shift.
- Scan, upload, and maintain job documentation on the company server.
- Maintain and organize daily backflush logs.
- Maintain daily equipment inspection records and report identified issues to the Supervisor or Manager.
- Ensure distribution center paperwork and electronic records are accurate, complete, and properly stored.
Distribution Center Support
- Manage shipping processes for designated customer accounts, including Amazon and other CPU customers.
- Assist with processing incoming RMAs (Return Merchandise Authorizations) in coordination with DC employees.
- Process weekly inventory pulls, transfers, and stock conversions for the Online Store and Visitor Center.
- Perform location and inventory count checks.
- Accurately receive and document incoming deliveries, including ingredients, materials, and warehouse transfers.
- Count and verify customer orders for accuracy.
- Coordinate UPS international shipments and ensure all required shipping documentation is completed accurately.
- Assist with troubleshooting inventory discrepancies, incorrect locations, and other shipping or warehouse-related issues.
- Support process improvements and work with DC employees to ensure established procedures and best practices are followed.
- Perform additional duties and special projects as assigned by the Supervisor or Manager.
Qualifications & Skills
- Previous distribution center, warehouse administration, shipping, or logistics experience is preferred but not required.
- Previous clerical or administrative experience strongly preferred.
- Strong organizational skills with excellent attention to detail.
- Strong basic math and numerical accuracy skills.
- Ability to troubleshoot discrepancies and identify potential errors.
- Strong written and verbal communication skills, including professional email and phone communication.
- Proficiency with Microsoft Excel and Word
