Job summary

Yakima Valley Farm Workers Clinic seeks an Administrative Assistant to the VP of Pharmacy Business Operations. This role provides confidential admin support, coordinates travel, drafts reports, and transcribes minutes for timely distribution.

The position supports the VP, maintains filing systems, and liaises with stakeholders to ensure smooth operations. Work hours are Monday–Friday, 8:00 am–5:00 pm, with competitive pay and full benefits including insurance, retirement, and PTO.

Qualifications

  • Associate's Degree or High School Diploma/GED with equivalent experience or certificate from an accredited technical school required.
  • 3 years’ experience with complex office responsibilities.
  • Ability to maintain confidentiality.
  • Knowledge of secretarial skills, including answering phones, taking messages, typing, composition, scheduling, transcribing, etc.
  • Proficient with Microsoft Access, Excel, PowerPoint, and Word; ability to create operational reports with these programs.
  • Ability to prioritize and handle a variety of tasks simultaneously.
  • Ability to periodically travel to and attend off-site meetings.
  • Ability to operate all standard office machines and equipment.
  • Ability to work with frequent interruptions.

Responsibilities

  • Provide confidential administrative support to the VP, including coordinating schedules, processing documents, and responding to telephone calls.
  • Arrange travel and reimbursements and travel with the VP as needed.
  • Compose written correspondence and reports.
  • Attend meetings, transcribe minutes, and distribute them in a timely manner.
  • Develop and maintain filing systems, databases, and office systems.
  • Coordinate office support and cross-coverage as needed.
  • Monitor and coordinate purchasing and maintenance needs.
  • Maintain professional relationships with stakeholders and serve as a liaison for the VP.
  • Provide training to VP direct reports, administrative support, and others as necessary.
  • Ensure confidentiality of information and system data.
  • Perform other duties as assigned.

Position Highlights:
  • 1.0 FTE (40 hours per week)
  • $21.44-$31.58/hour DOE with the ability to go higher for highly experienced candidates
