Job summary

Yakima Valley Farm Workers Clinic is seeking an Administrative Assistant to the VP of Pharmacy Business Operations. This full-time role provides confidential support, coordinates schedules, travel, and reporting for senior leadership in Yakima, WA.

The candidate will manage filing systems, prepare documents, transcribe meetings, and liaise with stakeholders. Strong secrecy, MS Office proficiency, and ability to multitask are essential. 40-hour weeks, with standard business hours.

Qualifications

  • Associate's Degree or HS diploma with equivalent experience or certificate.
  • 3 years' experience with complex office responsibilities.
  • Ability to maintain confidentiality.
  • Proficient with Microsoft Access, Excel, PowerPoint, and Word; ability to create operational reports.

Responsibilities

  • Provide confidential administrative support to the VP, including coordinating schedules, processing documents, and responding to telephone calls.
  • Arrange travel and reimbursements and travel with the VP as needed.
  • Compose written correspondence and reports.
  • Attend meetings, transcribe minutes, and distribute them in a timely manner.
  • Develop and maintain filing systems, databases, and office systems.
  • Coordinate office support and cross-coverage as needed.
  • Monitor and coordinate purchasing and maintenance needs.
  • Maintain professional relationships with stakeholders and serve as a liaison for the VP.
  • Provide training to VP direct reports, administrative support, and others as necessary.
  • Ensure confidentiality of information and system data.
  • Perform other duties as assigned.

Position Highlights:
  • 1.0 FTE (40 hours per week)
  • $21.44-$26.27/hour DOE with the ability to go higher for highly experienced candidates

What You’ll Do:

Qualifications:
  • Associate's Degree or High School Diploma/GED with equivalent experience or certificate from an accredited technical school required
  • 3 years' experience with complex office responsibilities
  • Ability to maintain confidentiality
  • Knowledge of secretarial skills, including answering phones, taking messages, typing, composition, scheduling, transcribing, etc.
  • Proficient with Microsoft Access, Excel, PowerPoint, and Word; ability to create operational reports with these programs
  • Ability to prioritize and handle a variety of tasks simultaneously
  • Ability to periodically travel to and attend off-site meetings
  • Ability to operate all standard office machines and equipment
  • Ability to work with frequent interruptions
