Job Summary: The VMS Specialist will be responsible for managing and overseeing the Vendor Management System (VMS) accounts, ensuring compliance, accuracy, and efficiency in all related processes. This role involves regular interaction with customers, stakeholders, and internal teams to drive program growth and expansion.

Key Responsibilities:

• Hold weekly meetings with customers and stakeholders on VMS accounts.
• Ensure zero defects in the billing and payroll process for VMS customers.
• Process all adjustments prior to week close.
• Ensure all time entries are correct and submitted on time.
• Achieve 100% compliance for associate onboarding and job order creation.
• Drive VMS program growth and expansion in terms of revenue and service lines.
• Create client-specific SLA sheets capturing all requirements.
• Train new staff on VMS processes.
• Participate in sales enablement activities.
• Manage all VMS/MSP transitions, ensuring awareness of all transitions.
• Reduce time to fill or start for VMS orders.
• Report on all VMS orders, fill rates, SLAs, and defects.
• Manage late time reporting and time accuracy.
• Hold weekly VMS meetings with stakeholders and monthly MBR on VMS accounts.
• Participate in customer meetings as needed.
• Manage and report on AR balances and participate in collections.
• Ensure work site safety for new starts/orders.
• Reduce VMS account write-offs.
• Maintain a VMS new client checklist.
• Define reporting and control mechanisms.
• Perform order reporting and job order verification.
• Verify assignments and candidate setups.
• Generate exception reports and time entry reconciliations.
• Ensure pre-bill reconciliation and pay rate verification for weekly time entries.
• Reconcile billing and payments, ensuring no discrepancies.
• Maintain adjustment reconciliation records.

• Strong understanding of billing, payroll, and time entry processes.
• Excellent communication and interpersonal skills.
• Ability to work collaboratively with various departments.

• Proficiency in using VMS software and tools.

Work Environment: This role requires regular interaction with customers and stakeholders, both in-person and virtually. The VMS Specialist will work closely with the marketing, IT, and customer service departments to ensure the smooth operation and growth of the VMS program.
