Job summary

Effy Jewelry, a family-owned luxury brand, is looking for a highly organized Visual Sourcing Coordinator to join its Visual Merchandising team at the New York City headquarters. You will coordinate fixtures, props, and materials, track timelines, and maintain critical reporting tools and databases to ensure timely delivery of visual merchandise.

The role requires five days onsite per week and strong Excel and project-tracking skills to manage vendor relationships across stores and cruise line

Qualifications

• 1-3+ years in Visual Management, Sourcing, Logistics, Project Management, or related coordination roles.
• Advanced Microsoft Excel proficiency for trackers, data management and reporting.
• Advanced PowerPoint proficiency for status reports and presentations.

Responsibilities

• Coordinate the ordering and distribution of fixtures, props, and visual merchandising materials for initiatives across land-based stores and cruise line locations.
• Manage order placement with vendors and monitor production progress; coordinate with Effy logistics for shipments.
• Partner with the Director of Visual Merchandising and cross-functional teams to resolve delivery issues and provide regular status updates.
• Support sampling requests for new fixtures, props and materials through ordering, receiving, feedback, and vendor communications.
• Build, maintain and update project trackers, databases, and reporting tools in Excel; communicate updates to stakeholders via status reports and presentations.
• Support the Visual Merchandising team with budget and project schedule tracking.

Job Overview

We are seeking a highly skilled and organized Visual Sourcing Coordinator to join our Visual Merchandising team. The Visual Sourcing Coordinator supports the successful execution of visual merchandising initiatives by coordinating fixture and prop orders, tracking project timelines, and maintaining critical reporting tools and databases. This role serves as a key liaison between the Visual Merchandising team, vendors, and stores, ensuring timely delivery of fixtures and materials while maintaining accurate project documentation and calendars. The ideal candidate is highly organized, detail-oriented, and proficient in Excel and project tracking systems.

This role is based at our New York City headquarters and requires being onsite five days a week.

Key Responsibilities

• Coordinate the ordering and distribution of fixtures, props, and visual merchandising materials for visual merchandising initiatives, including special projects and holiday roll-outs across land-based stores and cruise line locations
• Manage order placement with vendors and closely monitor production progress through regular check-ins and tracker maintenance; coordinate with Effy logistics to transition shipments from factory to stores, ensuring continuous visibility across the entire fulfillment cycle.
• Partner with the Director of Visual Merchandising, Effy logistics teams, vendors, and cross-functional teams to resolve delivery issues and communicate regular status updates and project reports to stakeholders.
• Support sampling requests for new visual merchandising fixtures, props and materials through ordering, receiving, compiling feedback, and vendor communications.
• Build, maintain and update project trackers, databases, and reporting tools in Excel to ensure accurate and current information; communicate updates to relevant stakeholders via status reports and presentations as needed.
• Support the Visual Merchandising team with budget and project schedule tracking to keep all initiatives on track.

Qualifications

• 1-3+ years of experience in Visual Management, Sourcing, Logistics, Project Management, or related coordination roles
• Advanced Microsoft Excel proficiency (building trackers, data management, reporting)
• Advanced in Microsoft PowerPoint proficiency for status reports and presentations
• Strong proficiency in Microsoft Outlook and general Microsoft Suite tools
• Project coordination and logistics experience
• Exceptional attention to detail and accuracy
• Confident communication with vendors and internal stakeholders at all levels
• Ability to manage multiple vendor requests simultaneously in a fast-paced environment

Preferred

• Experience with international vendors and managing time zone differences
• Cruise line retail or multi-location retail logistics experience
• Background in jewelry, fashion, or luxury goods retail

Hourly Range

The hourly range for this role is $29–$36, reflecting a good faith estimate of starting base pay. Actual pay may be higher or lower depending on experience, qualifications, and other job-related factors.
