Job summary

The University of Pittsburgh invites applications for an Events Coordinator to support on-campus and hybrid events. You will coordinate logistics for facilities, speakers, technology, transportation and personnel, and oversee event activities.

Essential duties include assisting the Visitor Engagement team, managing day-of-event operations, AV setup, and post-event evaluation. A Bachelor’s degree is required, with a Monday–Friday schedule and hybrid work arrangement.

Responsibilities

  • Coordinate on- and off-campus events with the Visitor Engagement team.
  • Manage day-of-event logistics, setup and teardown.
  • Operate and troubleshoot AV equipment and presentation tech.
  • Lead scheduling and space reservations (Alumni Hall).
  • Monitor inventory of materials and office supplies.
  • Document post-event assessments and propose improvements.
  • Respond to communications promptly and professionally.

Job description

Coordinates all event logistics for meetings, conferences, seminars, and special events; arranges logistics related to the facilities, speakers, technology, equipment, transportation, and personnel; and schedules all events. Manages marketing materials, event set ups, and event activities.

Essential Functions
  • Provide assistance and support to the Visitor Engagement team in the planning and execution of on and off campus events.
  • Coordinates day of event logistics and activities, including set up and take down after completion of event.
  • Possess thorough knowledge of complex AV equipment and the ability to operate computers, projector, microphones and other equipment needed for presentations.
  • Ability to troubleshoot and solve problems related to AV.
  • Lead event scheduling and space reservations for Alumni Hall.
  • Assist with monitoring the inventory of recruitment-related materials and other office supplies.
  • Performs post-event tasks related to assessing the event’s success; documents issues and identifies improvements for future planning.
  • Responds to communications promptly and with professional customer-service skills.
Physical Effort

Must be able to sit or stand for prolonged periods of time. May be required to carry or move items up to 50 pounds.
