Job summary

Animal Emergency & Specialty Center of Knoxville is seeking a Veterinary Receptionist / Client Care Representative in Knoxville, TN. You will be the first contact for pet owners, delivering compassionate service during stressful moments and coordinating with the medical team to support patient care.

Primary responsibilities include client check-ins, payments, and scheduling, with a focus on accurate records and clear communication.

Qualifications

  • At least 1 year of veterinary client service or veterinary receptionist experience.
  • Strong customer service background with ability to handle challenging situations professionally.
  • Familiarity with appointment scheduling and medical record documentation.

Responsibilities

  • Greet clients with empathy and professionalism and manage check-ins/outs.
  • Answer questions, provide updates, and support communication between clients and staff.
  • Process payments, invoices, and maintain financial records.
  • Prepare and maintain accurate medical records and confidentiality of information.
  • Coordinate with veterinarians and support staff to ensure seamless care.

Veterinary Receptionist (Client Care Representative)

At Animal Emergency & Specialty Center of Knoxville, we're seeking an experienced Veterinary Receptionist / Client Care Representative who is dedicated to providing exceptional client service and wants to build a long-term career in veterinary medicine. As the first point of contact for pet owners during some of their most stressful moments, you'll play a vital role in creating a supportive, welcoming experience while helping our medical team deliver outstanding patient care.

Some of the responsibilities you will own in this role:

  • Client Care & Communication
    • Welcome clients and patients with empathy, professionalism, and compassion
    • Manage patient check-ins and check-outs efficiently
    • Answer questions and address client concerns promptly
    • Provide updates and facilitate communication between clients and veterinary staff
    • Deliver exceptional customer service during emergency and specialty visits
  • Financial & Administrative Responsibilities
    • Process payments, invoices, and point-of-sale transactions accurately
    • Maintain financial records and documentation
    • Assist with appointment scheduling and specialty referrals
    • Prepare and maintain accurate medical records
    • Ensure confidentiality of client and patient information
  • Client Education & Support
    • Explain treatment plans, discharge instructions, and follow-up recommendations
    • Educate clients regarding medications, preventive care, and ongoing treatment needs
    • Support clients through emotionally challenging situations with empathy and professionalism
    • Escalate concerns appropriately when needed
  • Team Collaboration
    • Coordinate with veterinarians, technicians, and support staff to ensure seamless patient care
    • Assist with communication during emergency situations
    • Help maintain an organized, efficient, and welcoming reception area

Schedule:

  • Primarily weekday day shifts
  • One weekend shift per week required
  • Holiday availability may be required
  • Flexibility with scheduling preferred

Preferred Qualifications

Preferred Experience

  • At least 1 year of veterinary client service or veterinary receptionist experience
  • Emergency, specialty, or urgent care veterinary experience is a plus
  • Strong customer service background with a proven ability to manage challenging situations professionally
