Job summary

Qualifications

• Minimum 1 year of experience as a veterinary receptionist.
• Experience with veterinary practice management software.
• Knowledge of veterinary terminology and vaccination protocols.
• Proficiency in appointment scheduling, multi-line phone management, records and payments.
• Strong customer service skills and ability to handle high-volume client relations.
• Excellent written and verbal communication; able to listen actively and resolve conflicts.
• Comfortable handling animals of varying sizes and temperaments.

Responsibilities

• Greet and check in clients and patients, verify and update records, and confirm appointments using practice management software.
• Answer a multi-line phone system and respond to inquiries about scheduling, refills, vaccination records, and hospital information.
• Perform client check-out, process payments, post charges, explain invoices, and schedule follow-ups.
• Communicate medical information and care instructions, including in emotionally sensitive situations such as euthanasia scheduling.
• Maintain accurate electronic medical records (EMR) and data entry in the PIMS system.
• Coordinate with veterinarians, technicians, and staff to relay communications and maintain patient flow.
• Maintain cleanliness and organization of the reception area and waiting room.
