Job summary

National Veterinary Associates (NVA) is hiring a Client Services Representative to work alongside the Hospital Manager and team to deliver exceptional customer service as clients and patients move through the animal hospital. The role entails greeting clients, scheduling appointments, handling check-in/check-out, and supporting the veterinary staff.

The position requires a high school diploma or GED (Bachelor's preferred) and strong communication.

Qualifications

• High school diploma or GED required. Bachelor's degree preferred.
• Prior client service experience in related area preferred but not required
• Proper telephone etiquette and client service excellence
• Basic veterinary medical knowledge, including products and services
• Excellent oral and written communication skills
• Basic computer skills (Microsoft Office, e-mail, and practice management software experience preferred)
• Strong organizational skills with ability to multi-task and still attend to details

Responsibilities

• Greet clients, determine needs, and complete check-in/check-out.
• Schedule clients for treatment and vaccines, and plan procedures with doctors/technicians.
• Assist with client reminders for annual health assessments and exams.
• Pull patient charts for daily appointments and update information.
• Assist with filling prescriptions and provide administration instructions.
• Sell over-the-counter products and provide product recommendations.
• Invoice clients, handle payments, and process charges per hospital policies.
• Provide basic emergency info and advise on patient transport when needed.
• Maintain waiting room and reception area cleanliness and restock as needed.
• Prepare and send welcome letters and information packets for new clients.
• Demonstrate working knowledge of PIMS procedures and applications.
