Job summary

Hard Luck Animal Welfare Advocates (Hard Luck A.W.A), in partnership with Stockton Animal Shelter, are seeking a dedicated Veterinary Medical Scribe/CSR to join the animal care team. The role focuses on accurate medical record documentation and clear communication among caregivers, city staff, and medical personnel.

Candidates should have strong organizational skills, excellent written and verbal communication, and experience with EMR systems (preferably Animals First).

Qualifications

• Must have or be able to apply for the CA controlled substance permit.
• High school diploma or equivalent; additional education in healthcare, veterinary, or medical terminology is a plus.
• Previous experience in a veterinary or medical office or scribing role preferred.
• Strong verbal and written communication skills.
• Proficiency in electronic medical record (EMR) systems, preferably Animals First.
• Exceptional organizational skills and attention to detail.
• Ability to handle sensitive information with confidentiality.

Responsibilities

• Manage incoming phone calls related to medical inquiries, transferring calls from dispatch/front desk as necessary.
• Conduct pre-operative and post-operative patient inquiries to gather relevant information.
• Provide clear medication instructions to patient’s caregivers and handle prescription refills.
• Coordinate with the Hard Luck A.W.A. staff for prescription refills and notify patients’ caregivers of pickup times.
• Confirm appointments for surgeries, follow-ups, and vaccinations, including those required for foster cases.
• Maintain and update the surgery schedule to ensure smooth operations.
• Facilitate the transfer of medical records, including transfers to UC Davis as needed.
• Conduct follow-up medical calls, particularly after significant surgeries or in cases of complications.
• Scan and enter surgical and treatment paperwork into the Chameleon Operating system.
• Scribe and upload medical notes accurately to ensure comprehensive patient records.
• Follow up with laboratories regarding test results and communicate necessary information to patients and providers.
