What You Would Get To Do:

In this capacity, the ideal candidate would represent the FIRST brand embedded within a Solutions account for a Professional Services company. FIRST Solutions is the proprietary strategic meetings management model offered by FIRST, which embeds specialist talent into organizations to provide Content, Creative, Digital Technology, Management & Delivery, and Data & Insights. The Venue Sourcing Coordinator will consistently deliver exceptional service to our clients through excellent meetings management. This position is an integral part of our Venue Sourcing team and will be responsible for managing the venue sourcing process for various events.

Your Contributions

  • Provide site selection services for meetings and events
  • Review venue contracts and client addendums for accuracy and negotiate where applicable
  • Develop and submit RFP’s (Request for Proposals) via Cvent
  • Negotiate space, rates, costs, concessions and terms of contract agreements
  • Provide and track cost savings for the client
  • Be proactive with ideas and creative solutions
  • Consolidate information to fulfill client reporting requirements
  • Ensure CVENT is kept up to date
  • Conduct site visits and assist onsite at events as required
  • Attend industry events during and after work hours as necessary
  • Cultivate and maintain relationships external clients and suppliers
  • Contribute to the creation and deepening of a knowledge bank of venues, hotels, destinations, and services that ensures the FIRST team are providing expert advice and recommendations to clients

  • 1-3+ years’ of experience including entry level venue sourcing, meeting planning and supporting a team
  • Bachelors Degree Preferred
  • Working knowledge of Cvent eRFP and budgeting modules preferred
  • Proficient with Microsoft Office including Excel and PowerPoint
  • Experience negotiating contracts is a plus
  • Ability to establish relationships and maintain a positive rapport with colleagues, clients, vendors, and suppliers
  • Strong oral and written communication skills
  • Creative problem solver, resourceful, and a team player
  • Ability to manage multiple projects simultaneously, prioritize heavy workloads and maintain attention to detail

United States Residents: The base pay for this position ranges from $65,000 to $75,000. This role is also eligible for an annual discretionary bonus.
