Qualifications

• 2+ years of experience in vendor sourcing, procurement, purchasing, facilities, property management, or a related field.
• Experience sourcing and evaluating service providers or contractors.
• Strong negotiation and vendor relationship-management skills.
• Excellent research and problem-solving abilities.
• Highly organized with strong attention to detail.
• Proficiency with Microsoft Office or other administrative software.

Description

We are looking for a Vendor Sourcing Specialist to join our Facilities team and take ownership of identifying, sourcing, and coordinating vendors and service providers across our facilities and locations.

This role will be responsible for finding reliable vendors, obtaining and comparing quotes, negotiating pricing and service terms, coordinating onboarding, and helping ensure we have the right vendors in place to support our growing operations. The ideal candidate is highly organized, resourceful, detail-oriented, and confident communicating with outside vendors.

Job is fully onsite in Addison, TX. Rate of pay is between $18-20/hour based on experience.

What You’ll Do

• Research and identify qualified vendors and service providers for facility needs
• Source vendors for services including HVAC, plumbing, electrical, janitorial, landscaping, pest control, security, waste removal, maintenance, construction, and other facility-related services
• Request, collect, and compare vendor quotes and proposals
• Negotiate pricing, service agreements, and contract terms when appropriate
• Evaluate vendors based on pricing, quality, availability, experience, and overall fit
• Maintain a database of approved vendors, contacts, pricing, contracts, and service information
• Coordinate the vendor onboarding process, including required documentation, insurance, W-9s, agreements, and other compliance requirements
• Partner with Facilities and Operations leadership to understand upcoming needs and identify sourcing opportunities
• Build and maintain strong relationships with vendors and service providers
• Monitor vendor performance and escalating service or quality concerns when needed
• Help identify opportunities to consolidate vendors, reduce costs, and improve service consistency across locations
• Coordinate with vendors to schedule services, repairs, maintenance, and facility projects
• Assist with sourcing new facility openings, expansions, relocations, and special projects
• Maintain accurate records of bids, quotes, contracts, and vendor communications
• Support Facilities with urgent or last‑minute vendor sourcing needs
• Research market pricing and identify alternative vendors when current providers are not meeting expectations
• Assist with other Facilities and procurement-related projects as needed

Requirements

What We’re Looking For

• 2+ years of experience in vendor sourcing, procurement, purchasing, facilities, property management, or a related field
• Experience sourcing and evaluating service providers or contractors
• Strong negotiation and vendor relationship-management skills
• Excellent research and problem-solving abilities
• Highly organized with strong attention to detail
• Comfortable managing multiple requests, vendors, and deadlines simultaneously
• Strong written and verbal communication skills
• Proficiency with Microsoft Office or other administrative software.
• Ability to compare pricing, proposals, and service agreements and make data-informed recommendations
• Comfortable working independently and taking ownership of projects
• Ability to work in a fast-paced, growing organization where priorities may change quickly
