Job summary

Westinghouse Electric Company LLC, through WECTEC Staffing Services, is hiring a Vendor Services Specialist for an onsite 1-year contract in Indiantown, FL. You will manage outage-related vendor POs, change orders, and invoicing while ensuring compliance and clear communication with vendors.

The role covers pre-outage, outage, and post-outage activities, including rate validation, cost summaries, and negotiations. A related degree is required or equivalent outage experience.

• Associate's or Bachelor's degree in: Business Administration, Supply Chain Management, Finance/Accounting, Project Management, Engineering Technology.
• Equivalent utility or outage experience may substitute for formal education

Responsibilities

• Pre-Outage: Understand all outage-related POs and set them up; submit changes as needed.
• Pre-Outage: Establish clear lines of communication with vendors to set expectations.
• Pre-Outage: Confirm vendor rates align with contracts/quotes.
• Outage: Address errors on POs or service confirmations to prevent payment delays.
• Outage: Approve service confirmations and monitor burn rates.
• Outage: Ensure weekly summaries and daily service confirmations from vendors.
• Outage: Maintain clear communication with vendors during outages.
• Outage: Ensure non-ERS vendors convert confirmations to invoices and assist with invoice issues.
• Post-Outage: Ensure post-outage cost summaries.
• Post-Outage: Ensure all invoicing is complete and recorded.
• Post-Outage: Participate in cost negotiations and provide vendor reviews.
• Post-Outage: Ensure all rentals are returned and invoicing is completed.

About the role: We do not provide sponsorship or work C2C

We are hiring on behalf of our client for a Vendor Services Specialist. This will be an onsite role based in Indiantown, FL and will be a 1-year contract, W-2. The Vendor Services Specialist supports vendor-related activities during all phases of outages (pre-outage, outage, and post-outage). The coordinator will work with vendors to manage contracts, monitor performance, and ensure compliance with expectations.

Pre-Outage Responsibilities:

• Preparation: Gain a thorough understanding of all outage-related Purchase Orders (POs) and set them up accurately. Submit change orders or request changes as necessary
• Communication: Establish and maintain clear lines of communication with vendors to set expectations and address any concerns.
• Rate Updates: Confirm that vendor rates are accurate per the vendor contract/quote.

Outage Responsibilities:

• Error Management: Adjust or communicate any errors on POs or service confirmations to prevent payment delays
• Invoice Approval: Approve service confirmations and monitor burn rates.
• Summary and Timesheets: Ensure vendors provide weekly summaries and daily service confirmations.
• Communication: Maintain clear communication with vendors throughout the outage.
• Invoice Confirmations: Ensure non ERS vendors convert service confirmations to invoices and assist vendors with invoice related issues.

Post-Outage Responsibilities:

• Cost Summary: Ensure vendors provide a post-outage cost summary.
• Invoicing: Ensure that all invoicing is complete and accurately recorded.
• Negotiations: Participate in cost negotiations and provide vendor reviews.
• Rental Management: Ensure all rentals are returned and invoicing is completed.
