Job summary

Capital Consultants Management Corporation is seeking a Preferred Vendor Coordinator to support program execution, adoption and performance across markets. The role partners with the Vendor Manager to ensure compliance, training and communications for onsite teams and vendors.

You will drive adoption, manage documentation and assist with cross‑market coordination, reporting KPIs and process improvements in a fast-paced environment.

Qualifications

• Bachelor’s degree preferred or equivalent combination of education and relevant experience.
• 2–4 years of experience in vendor management, operations coordination, compliance administration, procurement support or related field.
• Strong organisational and project coordination skills with the ability to manage multiple priorities across markets.
• Excellent written and verbal communication with strong customer service orientation.
• Experience working cross-functionally with operations teams, vendors and external partners.
• Proficiency in MS Office; experience with procurement platforms is a plus.
• Ability to work independently in a fast-paced environment.

Responsibilities

• Support the Preferred Vendor Manager in day-to-day program activities.
• Assist in launching and rolling out the Preferred Vendor Program across markets.
• Coordinate across multiple markets and onsite teams for consistency.
• Monitor KPIs, adoption metrics and performance.
• Drive program adoption through onsite engagement and training.
• Facilitate vendor and onsite Q&A sessions for engagement and issue resolution.
• Serve as primary liaison for basic program and compliance inquiries.
• Escalate vendor compliance or operational issues to VendorSmart and the Manager.
• Monitor vendor documentation (W-9, COIs, hold harmless, waivers).
• Support planning, logistics and execution of meetings, trainings and events.
• Track bid processes and follow-up communications with onsite teams.
